Joining Arup

Arup's purpose, shared values and collaborative approach has set us apart for over 75 years, guiding how we shape a better world.

We're seeking a proactive, systems-savvy Workplace Coordinator to support our NSW and ACT offices in delivering efficient data and systems management, smart office space planning, and high impact internal communications.

You'll play a pivotal role in supporting the Office Manager to enhance the experience of our people and the performance of our workspaces. This is a highly collaborative role suited to someone who thrives on organisation, insight, and operational excellence. This is a great opportunity to bring your own approach to the role.

The Opportunity

  • Manage and maintain a range of Office Services systems to ensure data is accurate, useful, and decision-ready. Training is provided for all platforms.
  • Act as financial administrator for NSW/ACT Office Services budgets, overseeing expense tracking, cost transfers, and budget accuracy.
  • Lead internal office moves and space planning projects, engaging stakeholders and coordinating contractors for smooth project delivery.
  • Own and deliver the Office Services Communications Plan, managing intranet content, noticeboards, templates, and brand-aligned messaging.
  • Provide flexible operational support across the team—including facilities, events, front of house, and workplace experience—especially during peak periods or absences.

At Arup, you belong to an extraordinary collective – in which we encourage individuality to thrive. Our strength comes from how we respect, share and connect our diverse experiences, perspectives and ideas.

You will have the opportunity do socially useful work that has meaning – to Arup, to your career, to our members and to the clients and communities we serve.

Is this role right for you?

  • Strong technical capability in managing workplace systems and interpreting data to inform action
  • Excellent organisational and communication skills, with the ability to influence and engage stakeholders at all levels.
  • Experience in office space planning, project delivery, or workplace operations, ideally in a professional services environment.
  • Financial literacy and attention to detail when working with budgets and administrative processes.
  • A collaborative mindset, high integrity, and a consistent commitment to transparency and ethical workplace practices.
