About the Role
As the Front Office Coordinator, you'll be the warm, welcoming face and operational engine of Marshall White. You'll manage the front desk, greet valued clients and visitors, handle phone enquiries, provide sales administration support, and ensure seamless day-to-day office operations. This role is ideal for a driven, proactive professional committed to exceptional customer service and eager for career growth with Melbourne's most respected luxury real estate brand.

Key Responsibilities

  • Lead the front office experience for clients and employees, ensuring every interaction reflects our commitment to excellence.
  • Maintain Office presentation standards, ensuring a seamless and professional environment
  • Proactively anticipate and prepare for high-volume or peak times, demonstrating exceptional foresight and organisation.
  • Provide efficient day-to-day administration, including greeting visitors, managing calls, and meeting coordination
  • Assist the Group Office Manager in developing and refining operational procedures to enhance efficiency and consistency across the office
  • Identify risks and resolve issues before they become problems, keeping the office one step ahead.
  • Support key office processes and communication, acting as an essential link between clients, team members, and broader business functions.
  • Support Group Office Manager & EA to the CEO when required
  • Contribute to a collaborative, energetic workplace culture.

Skills, Experience & Qualities

  • Highly organised and efficient, able to manage competing priorities with ease.
  • Naturally takes initiative; you don't just spot problems, you solve them
  • Experience in office coordination, reception, or a front-of-house role (real estate or professional services a plus).
  • Outstanding interpersonal and communication skills—you build confidence and trust with everyone you meet.
  • Able to forecast workflow, recognise busy periods, and prepare the team and environment accordingly.
  • Tech savvy, adaptable, and comfortable in a fast-paced environment.
