Job Description

The Campus Operations Coordinator plays a key role in ensuring the smooth, safe and efficient day-to-day operations of a campus environment. This position supports the management of facilities, event logistics, compliance, risk management and general operational support to create a positive and functional experience for students, staff and visitors.

Key Responsibilities:

  1. Campus Facilities

  2. Develop and maintain a national maintenance schedule for all campuses.

  3. Liaise with Campus Operations Managers (COMs) regarding scheduling and booking contractors.
  4. Set and regularly update the national maintenance schedule for each campus in Safety Champion.
  5. Assist in the development and implementation of campus emergency preparedness plans, including       evacuation routes, signage and emergency supply inventory.
  6. Maintain compliance with health, safety, and building codes, working with leadership to coordinate inspections and implement corrective actions as needed.
  7. Set up and review contracts for services providers i.e. pest control, cleaning companies and so on.
  8. Track and report on consumables levels, supply orders and equipment usage across campuses, ensuring accurate stock management and supporting data-driven decisions for procurement and budgeting.
  9. Provide input into procurement and vendor selection with a focus on value for money and sustainable practices.
  10. Melbourne only: Monitor and respond to facilities-related JIRA requests, ensuring timely resolution and maintaining a record of all requests and repairs.
  11. Melbourne only: Conduct room audits, workstation set up and any other duties as requested by line manager.
  12. Melbourne only: Conduct regular inspections of the campus to identify safety hazards, maintenance issues, or opportunities for improvement.
  13. Melbourne only: Assist the Campus Administrators with the setup and breakdown of campus furniture and equipment for meetings, events and daily operations.

  14. Event Management

  15. Participate in the working group for key national campus events, ensuring consistency and high-quality execution across all locations.

  16. Engage with key stakeholders in each campus nationally to ensure the smooth running of all national events.
  17. Collaborate closely with internal and external stakeholders to align event objectives with student engagement strategies.
  18. Melbourne only: Ensure all pre-event and on-the-day logistics run smoothly, supporting stakeholders and resolving any issues in real time.
  19. Melbourne only: Assist with set up and pack-down of events, including the arrangement of marketing materials, displays, signage and campus branding assets.

  20. Stakeholder Engagement

  21. Work closely with the Operations Team to share best practices and coordinate cross-campus projects.

  22. Melbourne only: Support induction and onboarding of new staff with campus facilities and emergency procedures orientation.

  23. Risk and Compliance

  24. Support the implementation of risk management frameworks at campus level, including incident reporting, WHS audits and follow-up actions.

  25. Ensure contractor compliance with workplace health and safety requirements, including inductions, insurances, and permits to work.
  26. Monitor Safety Champion nationally and attend to, resolve or escalate issues.
  27. Coordinate emergency drills and support staff and student awareness of campus safety procedures.

  28. Reporting

  29. Track and report on facility maintenance schedules, and project timelines to support operational planning.

  30. Track and report on inventory levels, supply orders and equipment usage across campuses.
  31. Maintaining records for health and safety checks, emergency drills and building inspections.
  32. Provide monthly operational updates to line manager including insights on facilities, events, risks, improvements and resource needs.

Qualifications

To have the best chance of success in the role you will need:

  • Relevant qualification in business, facilities management, administration, or related field; or equivalent combination of education and experience.
  • Minimum 3 years' experience in operations, facilities coordination, or administration within an education, corporate, or campus-based environment.
  • Demonstrated experience coordinating facilities services and working with external contractors.
  • Proven track record of planning and executing events, including logistics, communication and stakeholder management.
  • Experience using administrative or facilities systems (e.g., JIRA, RTO Manager, Safety Champion or similar platforms).
  • Strong proficiency with Microsoft Office Suite.
  • Excellent verbal and written communication skills, with the ability to liaise professionally across teams and organisational levels.
  • Ability to manage multiple tasks and priorities in a fast-paced, deadline-driven environment.
  • High attention to detail with experience in data entry, reporting and record keeping.
  • Proactive, solutions-focused mindset with the ability to work independently and collaboratively.
  • Understanding of workplace health and safety practices, including risk reporting and compliance.
  • Ability to work full-time from campus, with willingness to engage in physical activity (e.g., moving furniture, event setup, campus inspections).
  • Working With Children Check and/or First Aid certification (or ability to obtain).
  • Experience preparing operational reports with data analysis for management decision-making.
