About the Role

We are seeking a proactive and detail-oriented Bookkeeper / Accounts Receivable Officer to join our head office team on the Gold Coast. In this role, you'll be the backbone of our finance operations, ensuring our accounts are in order as we continue to grow internationally. This is a key position in our expanding business, perfect for someone who enjoys a fast-paced environment and wants to grow alongside a brand that operates across Australia and the US.

You will be responsible for maintaining accurate financial records and keeping our cash flow on course. From managing day-to-day bookkeeping tasks to handling accounts receivable for both local and international customers, your work will directly support our team's success and our global expansion. Key Responsibilities

  • Accounts Receivable Management: Oversee and manage AR processes, including invoicing and AR follow-up with our B2B customers. You'll ensure timely collections and communicate professionally with clients to maintain strong relationships.

  • Xero Reconciliation & Reporting: Use your Xero expertise to reconcile bank transactions, Shopify sales, and other entries on a regular basis. Prepare accurate financial reports and summaries in Xero for management, providing insights into cash flow and receivables.

  • International Bookkeeping: Handle bookkeeping for a business operating in both Australia and the USA. This includes dealing with multiple currencies and tax requirements (GST, VAT, etc.), and ensuring compliance with local accounting standards. Experience with international bookkeeping is highly valued as we operate across borders.

  • Inventory System Integration: Maintain and monitor the integration between DEAR/Cin7 and Xero. Ensure that sales, purchases, and inventory movements from our Shopify store and inventory management system are properly synced to Xero. Identify and resolve any discrepancies between systems promptly to keep our records accurate.

  • Financial Operations Support: Assist with general bookkeeping duties such as accounts payable entry, expense tracking, and bank reconciliations. Support month-end closing activities and help streamline financial processes as needed. Work closely with our Finance Manager (or management team) to ensure smooth financial operations.

Skills & Experience (About You)

  • Xero Certified: You are Xero certified and highly proficient in using Xero accounting software. You know how to leverage Xero for reconciling transactions, generating reports, and keeping the ledger spotless.

  • Bookkeeping & AR Experience: Proven experience in bookkeeping and accounts receivable roles. You understand the end-to-end AR process and have a track record of keeping on top of receivables to maintain healthy cash flow.

  • eCommerce & Shopify Knowledge: Experience working with eCommerce businesses is a must. You have hands-on experience reconciling Shopify (or similar platform) transactions in Xero. Familiarity with apps or tools that integrate Shopify sales into Xero will be advantageous.

  • DEAR/Cin7 Experience (Highly Regarded): Experience with DEAR Systems or Cin7 (inventory management/ERP software) is a strong plus. If you've maintained or helped integrate accounting with inventory systems before, let us know

  • International Finance Exposure: Experience with international or multi-currency bookkeeping is highly sought after. You're comfortable handling transactions in multiple currencies and aware of basics like exchange rates, and perhaps have dealt with US sales or tax systems.

  • Attention to Detail & Accuracy: You take pride in your accuracy and attention to detail. Whether it's reconciling a payment or preparing an invoice, you double-check the numbers and ensure nothing slips through the cracks.

  • Proactive & Organized: You're self-motivated and can manage your time effectively. When you spot an overdue invoice or an unreconciled item, you take initiative to resolve it. You can juggle multiple responsibilities and deadlines without sacrificing quality.

  • Team Player with Good Communication: Excellent communication skills – you'll be liaising with customers (for AR follow-ups) and working with our internal team. You can explain finance matters in clear, friendly language and build positive relationships across the business.
