As a Treatment Coordinator, you are a key advocate for our patients, guiding them through their orthodontic journey, building trust, and helping them take the first step with clarity and confidence. You are the bridge between patient education and case acceptance, ensuring that every individual feels supported, informed, and ready to say "yes" to the transformation they've come seeking.
Key Responsibilities
Consultation & Presentation
Deliver treatment consultations that are clear, confident, and tailored to each patient's needs and goals.
- Present treatment plans, financial options, and timelines in a way that is professional, transparent, and persuasive – without pressure.
- Embrace the mindset that ethical selling is helping, patients come to us because they want treatment, and you're here to help them take the first step.
Identify patient motivations and objections, and guide them toward a confident, informed decision.
Case Acceptance & Follow-Up
Own and track the treatment acceptance process, from consultation to start with structured follow-ups, calls, and check-ins.
- Track and report on key metrics including case acceptance, lead conversion, and new patient starts.
- Collaborate on marketing to execute ideas for promotions, events, and campaigns that drive patient engagement and starts.
Share patient feedback and frontline insights to refine marketing and conversion strategies.
Seamless Patient Journey & Internal Coordination
Coordinate closely with the front desk and clinical teams to ensure smooth transitions through each stage of the patient's journey.
- Maintain accurate and timely records of all patient communications, treatment notes, patient treatment letters, financial arrangements, and start dates.
Assist in coordinating scheduling gaps, pending and recall opportunities to keep the practice productive and patient flow smooth.
Dentist Reports & Referral Communication
Prepare and send regular, professional treatment reports to referring dentists, ensuring timely updates on patient progress.
Maintain positive communication with referring practices to reinforce trust and enhance ongoing relationships.
Relationship Building & Advocacy
Build meaningful rapport with patients and their families, becoming a trusted point of contact throughout their journey.
- Educate patients in a way that builds trust, reduces anxiety, and empowers decision-making to begin treatment.
- Encourage patients to share their positive experience by leaving a Google review, reinforcing trust and contributing to the practice's strong online reputation.
- Celebrate wins, whether it's treatment starts, milestone visits, or deband day.
