We are seeking a highly organised and customer-focused individual to join our team. This role is key to ensuring seamless workshop operations while delivering exceptional service to our clients. You will act as the first point of contact for customers and suppliers, manage administrative processes, and provide essential support to our technicians.
Key Responsibilities
- Manage incoming phone calls and customer enquiries with professionalism and efficiency
- Schedule and book vehicles for servicing and repairs
- Prepare and send quotes to clients in a timely manner
- Generate purchase orders, process invoices, and maintain accurate records
- Liaise with the bookkeeper regarding accounts and financial documentation
- Source and order parts, request pricing, and coordinate with suppliers
- Support technicians by scheduling jobs and coordinating workflow
- Prepare daily job lists and ensure accurate data entry into the system
- Deliver outstanding customer service, including proactive follow-up and communication
Hours & Flexibility
- Standard hours: Monday to Thursday, 8:00 am – 5:00 pm (with occasional extension to 6:00 pm if required)
- Flexibility to provide additional coverage on Fridays when needed, ensuring smooth operations during the Director's leave

- Skilled at multitasking and managing priorities in a busy environment
- Professional, approachable, and confident when engaging with clients and suppliers
- Proficient in data entry, invoicing, and general office software
- Experienced in customer service (automotive industry knowledge is an advantage, but not essential)
