Role purpose

The Operations Coordinator helps keep that ambition moving. You'll bring structure, clarity and momentum to our growing portfolio of loans, grants, investments and properties — keeping details sharp, systems humming and supporting our team to keep projects on track.

This is a hands-on support role where details matter. You'll be deep in the day-to-day — staying across the many small tasks that keep big goals moving and making sure nothing slips through the cracks. You will thrive in this role if you love checklists, take pride in being organised and enjoy connecting the dots. You'll be supporting big ideas with sharp execution — the critical work that makes everything else possible.

Key responsibilities

Portfolio operations

  • Help coordinate day-to-day activity across Wedgetail's portfolio of investments, loans, grants and properties, supporting the team to drive towards their goals.
  • Track and manage key portfolio processes including disbursements, loan repayments, grant payments, deliverables and partner reporting.
  • Assist with documentation such as loan / grant applications, legal agreements, reporting templates and due diligence checklists. Help prepare reports, presentations and board materials.
  • Maintain and improve databases, dashboards and systems so information is accurate, visible and easy to use.
  • Stay curious about best practices in portfolio operations and bring fresh ideas to strengthen how Wedgetail works.

Operations and organisational support

  • Support documentation and information management across our systems including Google Drive, calendars, Notion, Slack, Attio, Canva to keep information organised and secure.
  • Assist with compliance, insurance and audit processes.
  • Coordinate calendars, travel logistics and team communications as needed.
  • Prepare meeting agendas, capture notes and actions, and stay on top of next steps to help move projects forward.
  • Identify and implement improvements to workflows and tools that make our work more efficient and connected.

People and HR support

  • Help run recruitment including posting and monitoring job ads, coordinating interviews and communicating with candidates.
  • Manage onboarding logistics including contracts, equipment, insurance, accommodation.
  • Track and coordinate team compliance requirements such as health checks, licences and certifications.
  • Support preparation for planning cycles, offsites and team events.

    $80,000 - $90,000 plus super, commensurate with experience
