We're looking for a highly organised and detail-driven Administration Manager to join our team. This is a hands-on role where you'll ensure the smooth and accurate processing of all administrative, financial, and compliance tasks that keep our business running seamlessly.

Job Description

About the Role

As the Administration Manager, you will be responsible for ensuring the accurate and timely processing of daily transactions, including revenue and expense capture, invoicing & purchase orders.

You'll play a key role in maintaining compliance across all vehicle purchases and sales, managing registrations, ensuring financial accuracy, and supporting the wider team in delivering outstanding results.

Key Responsibilities

Stock & Compliance

  • Accurately enter all stock into Eclipse via Eval Expert.
  • Conduct PPSR checks on every vehicle to ensure no encumbrances, stolen, or written-off status.
  • Verify all build and compliance dates align with Eval and invoices before uploading to the virtual yard.
  • Generate contract documents from Offer to Purchase forms in collaboration with Sales.

Vehicle Transactions & Delivery

  • Confirm all cars are fully paid before delivery and coordinate settlements.
  • Liaise with the Sales Manager to coordinate customer deliveries and complete necessary checks.
  • Generate final invoices, delivery documentation, and ensure vehicle transfers/registrations are completed.

General Administration & Office Management

  • Ensure the showroom and office are clean, well-presented, and fully stocked with amenities.
  • Verify all invoices are accurate and charged correctly — no duplicate or overcharges.
  • Support the Sales Manager with administrative and operational tasks.
  • Manage the "New Stock Arrivals" WhatsApp chat — updating stock cards, PPSR status, registration status, and tracking compliance progress.
  • Run errands as required, including post office, bank, or transport office tasks.

You are a meticulous administrator with strong financial acumen and a passion for organisation. You thrive in a fast-paced environment and are confident managing multiple priorities while maintaining accuracy and professionalism.

You'll bring:

  • Proven experience in administration, office management, or dealership operations.
  • Strong attention to detail and ability to work autonomously.
  • Excellent time management and communication skills.
  • Experience using systems such as Eclipse and Eval Expert (preferred).
  • Understanding of vehicle registration, compliance, or PPSR processes (highly regarded).
  • A proactive and hands-on approach to problem solving.
