Job Summary:

The Vehicle Service Agent (VSA) completes all the duties required to maintain vehicles required for bookings. Integral to this role is the cleaning and servicing of rental vehicle following established best practice standards. The VSA also identifies and reports vehicle damage and will at times help other staff and customers with ad hoc tasks.

The VSA performs duties and provides services which reflect the Company's values. Essential duties and responsibilities, shown below, will vary based on the location, team size, and any specialised or specific requirements.

Key Accountabilities:

  • Checking in returned vehicles, checking fuel levels, body damage and operation of vehicle and accessories.
  • Removing damaged, unroadworthy or problem vehicles from fleet to designated out-of-service area, completing incident reports and notifying manager or rental counter of vehicles taken out of service.
  • Notifying manager of damaged vehicles when they return, completing incident reports and taking photos of damaged vehicles as soon as they arrive.
  • Cleaning interior and exterior of vehicles according to prescribed quality standards, disposing of garbage and turning in any articles left by customers to the designated lost and found area.
  • Ensuring vehicles are ready and meeting the Quality Assurance standards for pick up.
  • Conducting inventory and logging vehicles in and out of service area according to established procedures. Completing necessary paperwork, communicating inventory and availability and notifying fleet manager in case of vehicle problems.
  • Assisting all customers with inquiries, concerns and requests in a positive and friendly manner, including the loading and unloading of luggage, shuttling of customers to a desired destination as directed and providing direction and operating instructions.
  • Informing customers of return vehicle procedures. This includes noting fuel level and kilometre reading and return to the rental counter.
  • Completing and actioning daily/weekly reports as required.
  • Conducting work in a safe manner, complying with Occupational Safety, Health and Environment policies and procedures to eliminate or minimise workplace health and safety risks.
  • Adhering to Company Quality Assurance and Uniform Guidelines.
  • Working efficiently and effectively in a team environment to maintain a culture of service excellence and accomplishing organisational goals under limited supervision.
  • Driving vehicles as require in a safe and timely manner, following speed limits and traffic guidelines and rules.

Person Specification

Education and Professional Qualifications

Essential: Driver's License

Desirable: MR/HR License

Work Experience

Essential: Demonstrate understanding and use of the Customer service and Sale process

Desirable: Experience within the car rental industry / Experience meting KPI's

Technical Skills and Knowledge

Essential: Problem Solving / communication / Knowledge of OHS requirements / Attention to detail / basic computer use

Desirable:  Comprehensive computer use / Excellent communication/
