Administration Assistant required for a Private Psychology practice in Northcote

Northside Psychology consists of a team of ten Psychologists based in Thornbury, Melbourne. We are fortunate to work in an incredibly supportive and friendly environment and it is imperative that applicants are friendly, positive and supportive.
We are looking to employ two part-time administration assistants to job share a 9am-5pm, Monday to Friday role. Applicants will need to be reliable, friendly and professional and to have the ability to work onsite.
The exact working hours for each employee will depend on the availability and preferences of the successful candidates as well as the needs of the practice. However, the preference would be for the
Previous administrative experience working in healthcare/mental health as well as experience using Halaxy (software we use) would be advantageous when applying for this role.
Essential Criteria:
- To act professionally at all times. This includes maintaining strict professional boundaries with both clients and Psychologists and at all times ensuring that the confidentiality of our clients and other relevant stakeholders is protected.
- The ability to communicate with clients (and other relevant stakeholders) both compassionately and professionally.
- Provide timely and clear communication to clients as well as our Psychologists.
- Trustworthy and reliable.
- To be able to work autonomously as well as take direction when required.
- To demonstrate the ability to be organised and efficient and to be able to prioritise job tasks.
- To be able to confidently and competently complete the core administrative duties required at Northside Psychology. These include (but are not exclusive to): Answering the phone, taking new referrals and ensuring all necessary documentation is completed prior to the client's first appointment, ensuring all payments have been processed and rebates have been issued, following up on cancellation fees/outstanding invoices as well as rescheduling appointments.
Hours:
9am to 5pm, Monday to Friday.
