Hachem is an award-winning multidisciplinary architecture and interior design practice known for delivering innovative, high-end commercial, hospitality, and residential projects across Australia and Asia. With a growing international presence and offices in Melbourne and Singapore, we are seeking a dynamic and experienced Operations Manager to support and streamline studio operations,  and ensure consistent project and financial performance across both regions.

Role Overview

The Operations Manager will play a critical leadership role in overseeing the day-to-day operational and project related functions of our Australian and Singapore studios. This role requires a proactive and highly organised professional who can manage workflow, resource allocation, project delivery timelines, and client fee proposals and budget. You will act as the central point of coordination between project teams, Directors, and clients, ensuring that both creative and commercial goals are met.

• Experience in the architecture industry is highly beneficial
• Tertiary Degree in Architecture/Interior Design, Operations Management, or relevant field is preferred

Key Responsibilities

Workflow & Studio Operations

• Coordinate and monitor daily workflows across both studios to ensure efficient project progress and resource allocation.
• Collaborate with project leads and team members to manage timelines, project stages, and deadlines.
• Implement and refine systems and processes for improved operational efficiency.
• Oversee project scheduling, internal resourcing, and capacity planning.

Client Fees & Financial Management

• Develop, prepare, and track client fee proposals and fee structures.
• Monitor project budgets, and variations and work with the Office Manager on invoicing.
• Support Directors and Associates in negotiations and discussions related to fees and contract scope.
• Work with the finance team to track profitability, billing, and financial KPIs across projects.

Team & Communication Management

• Act as a key liaison between Melbourne and Singapore teams to ensure consistent standards and operations.
• Support team performance through clear communication, mentoring, and administrative oversight.
• Facilitate regular cross-office meetings and reporting to maintain alignment.

Compliance & Contracts

• Ensure project contracts, insurances, and client agreements comply with local Australian and Singaporean legal requirements.
• Maintain records and documentation for all projects, contracts, and fee proposals.

Skills & Qualifications

Essential:

• 5+ years' experience in a studio or operations management role within an architecture, design, or creative consultancy environment.
• Strong understanding of architectural workflows, project phases, and fee structuring.
• Proven experience managing project budgets, fee proposals, and client invoicing.
• Excellent organisational, multitasking, and communication skills.
• Proficient in project management tools and Microsoft Office Suite and InDesign.

Desirable:

• Experience managing operations across multiple offices or international studios.
• Familiarity with Australian and Singaporean contract and fee standards (e.g., ACA Short Form Client Architect Agreement or similar).
• Understanding,
  and implementation experience in

architectural software and practice management platforms
