ABOUT THE ROLE

The Executive Support Officer (ESO) is a highly motivated, detail-oriented, organised person who is critical to the effective operations of the company. The ESO directly supports the CMAX Advisory Executive Team, ensuing effective and efficient corporate governance and business operations.

Essential duties and responsibilities

  • Information Management: Gather, analyse, and summarise data, reports, and documents, ensuring the Executive Team has access to relevant and timely information to support business operations and can focus on strategic decision-making and corporate governance.
  • Board Support: Play a vital role in supporting board activities by assisting in the drafting of board papers, preparation of meeting agendas, collating board packs, and distributing materials to board members. Coordinate logistics for board meetings, ensuring that they run smoothly.
  • Communication and Stakeholder Management: Effectively liaise between executives, other company staff and external stakeholders. Facilitate effective communication by drafting and proofreading correspondence, reports, and presentations, with the highest attention to detail. Coordinate with internal and external stakeholders, ensuring that information flows smoothly and stakeholders' concerns are addressed promptly. Maintaining strong relationships and effective communication are critical to the role.
  • Ethical Compliance and Confidentiality: Uphold ethical standards and safeguarding confidential information, contributing to the integrity and trustworthiness of corporate governance practices. Assist the Executive Team to ensure the company complies with legal and regulatory requirements.

ABOUT YOU

We are seeking candidates with some of following skills, knowledge and attitudes:

  • Previous experience as an office manager, executive assistant or executive support officer.
  • Interest in the Australian political environment.
  • Previous experience supporting boards.
  • Previous experience supporting small event coordination.
  • Excellent verbal and written communication skills.
  • Flexible, dynamic and highly motivated approach to work and ability to work to tight deadlines, managing concurrent competing priorities.
  • Proven track record of excellent follow-through and accountability.
  • Outstanding organisational skills and meticulous attention to detail.
  • Ability to prioritise tasks and execute multiple projects simultaneously.
  • Ability to work independently.
  • Positive, can-do attitude.
  • Excellent interpersonal skills able to effectively represent the company as the first point of contact.
  • Proficient with Microsoft Office, including Word, Excel, Powerpoint and Teams.
  • Strong writing, proofreading and verbal communication skills.
  • Excellent time management skills.
