We are looking for a capable, confident, and organised Administrative Assistant to join our Sydney office. This is a key role supporting the company's operations, project delivery, and service team. You'll be right at the heart of how we run our business — keeping the systems, people, and processes running like clockwork.

Key Responsibilities· General office administration and day-to-day operational support.
· Attend to customer and client queries via phone and email.
· Manage and maintain company data, projects, and workflows through simPRO.
· Update staff training records, timesheets, and qualifications.
· Coordinate onboarding and inductions for staff and subcontractors.
· Maintain registers for equipment servicing, rego renewals, and insurance policies.
· Review and process subcontractor and supplier invoices.
· Assist with maintaining and updating the Integrated Management System (IMS).
· Support marketing, social media, and advertising activities.
· Draft and issue meeting agendas, minutes, and communications.
· Perform data entry for project costing and reporting.
· Provide administrative assistance to company Directors and project teams.
· Help the team stay on top of schedules, compliance, and deadlines.
Qualifications & Requirements· Bachelor's degree in Business Administration or a related field (preferred).
· years' experience in reception, office administration, or similar roles, preferably in financial or professional services.
· Strong organisational skills and attention to detail.
· Confident, approachable, and professional — able to represent the office to clients and colleagues alike.
· Proactive, solutions-oriented, and capable of managing multiple task simultaneously.
· Comfortable using Microsoft Office Suite and learning new software systems.
· Experience using simPRO or other job management software is highly regarded.
· Ability to manage multiple priorities under pressure.
· Reliable, proactive, and professional attitude.
· Full working rights in Australia and a valid driver's licence.
· Willingness to contribute to a positive team culture and company events.

Employment Type: Full-Time Permanent
Salary: Negotiable based on experience
