This role is an Australia-based, fully work-from-home position, with access to co-working spaces in Sydney, Melbourne and Brisbane
Job DescriptionThe People Experience Coordinator plays a pivotal role in enhancing the employee experience by supporting key administrative and engagement tasks across the employee lifecycle. This fixed-term role, until 9th January 2026, will provide essential support to the People Experience Team. The Coordinator will focus on administrative excellence, onboarding and engagement, and streamlining processes to enhance employee experience.
Key Responsibilities:
Administrative Support
Manage the People Team inbox, ensuring timely responses and resolution of employee queries across email and Slack.
Maintain and update the company wiki, building out additional pages as needed to ensure information is current and comprehensive.
Support the People Experience Team with event coordination and travel management, including company offsites, employee travel, and logistical arrangements with external vendors and service providers.
Assist with offsite coordination, including venue research, scheduling, attendee communications, and budget tracking.
Support the administration of our end-of-year functions, ensuring seamless planning, coordination, and communication with stakeholders.
Administer and support our coworking programs, including managing booking requests, coordinating with co-working partners, and ensuring employees have access to necessary resources.
Conduct regular people compliance checks, including working rights verification, background checks, and compliance requirements.
Reward and Recognition
Support the People Experience Specialist in administering our reward and recognition platform, including the administration and distribution of manager reward budgets.
Coordinate the distribution and tracking of company swag, ensuring timely delivery for new hires, anniversaries, milestones, and key company events.
Survey Administration
Support the planning, administration, and data collation for the 2026 Engagement Survey, ensuring a seamless and accurate process.
Collate and distribute relevant reports to key stakeholders, ensuring data is presented in a clear and actionable format.
Support the administration of key lifecycle surveys, such as onboarding and offboarding, to gather feedback and inform ongoing improvements.
Onboarding and Induction Support
Coordinate the scheduling of the People Team induction session, ensuring it aligns with new employees' onboarding timelines.
Foster discussion and interaction among new hires, encouraging questions and feedback to facilitate understanding and engagement.
Oversee the Seedlings Slack channel dedicated to new starters, fostering a supportive and inclusive environment for them to connect and engage with their peers.
Collaborate with IT, People Operations, Talent Acquisition, and other teams to develop and maintain onboarding resources that effectively support new hires.
Team Collaboration and Communication
Act as a key liaison to ensure seamless communication between the People Team and employees.
Provide support for ad-hoc tasks and projects to streamline processes and improve team efficiency.
Assist in the development of the 2026 key events calendar, collaborating across teams to align priorities and timelines.

In addition to these foundations, you will have:
2–3 years of experience in a similar administrative or HR role, supporting people-focused processes.
Strong attention to detail and organisational skills, capable of managing multiple tasks simultaneously.
High level of experience using Slack or similar communication and collaboration tools to manage queries, coordinate work, and maintain engagement in a remote environment.
Experience coordinating travel, including bookings, itineraries, and logistics for individuals and groups.
Experience with collaboration tools, HR systems, and knowledge management tools such as Guru is advantageous.
Previous experience administering employee lifecycle processes, particularly onboarding, engagement, and recognition.
Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders across all levels.
Strong interpersonal skills, demonstrating the ability to build rapport and maintain positive relationships.
