About the Role
We're looking for a proactive People & Operations Coordinator to help build an engaged, high-performing, and values-driven workplace.
Candidates must be able to manage all core responsibilities including HR administration, payroll coordination, recruitment and onboarding processes, and operations compliance requirements.
Working closely with the People & Operations Lead and the wider Operations team, you'll support all aspects of HR - from recruitment, onboarding, and employee records to HR systems and compliance. You'll also contribute to people initiatives that strengthen engagement, capability, and performance.
As foundU continues to grow within the Citation Group, you'll play a key role in aligning our people practices with group-wide standards and supporting a culture of best practice.
In this role, you will:
- Coordinate the employee lifecycle, maintaining accurate data and records, and ensuring compliance across employment, WHS, and policy frameworks.
- Maintain and enhance employee records, HR systems, and documentation to ensure data integrity, compliance, and accessibility.
- Partner with the Employee Success Coordinator to enhance the employee experience through thoughtful onboarding, engagement, learning, and wellbeing initiatives.
- Work closely with the Citation Group People & Culture team to align foundU's HR practices with Group standards, initiatives, and compliance frameworks.
- Contribute to strategic people projects that drive culture, performance, and growth, working closely with the People & Operations Lead and the Citation Group P&C team.
- Build strong relationships across teams, acting as a trusted contact for team members and leaders on people matters.
- Prepare and deliver people metrics and reporting (weekly, monthly, quarterly) on recruitment, training, engagement, and compliance - to assist leadership decision-making.
- Ensure compliance with employment legislation, WHS requirements, and company policies.
- Conduct regular audits of HR data and documentation to meet internal and external standards.
- Plan and deliver internal events, recognition programs, and engagement activities.
- Handle confidential and sensitive information with professionalism and discretion.
- Manage office-related functions, including facilities, supplies, and vendor relationships.
- Provide professional and confidential project support to the People & Operations Lead, the Chief Operations Officer and the wider Operations team.

You'll bring a mix of strong organisation, people skills, and practical HR know-how. Specifically, you have:
- A bachelor's degree or Certificate IV in Human Resources, Business Administration, or a related field
- 2–4 years' experience in an HR coordination, generalist, or similar role
- A minimum of 3 years' experience in HR or operations roles
- Passion for culture, continuous improvement, and operational excellence.
- Solid understanding of HR processes, compliance, and employment law.
- Exceptional communication and relationship-building skills across all levels.
- Strong organisational skills and the ability to juggle multiple priorities with attention to detail.
- Proficiency in HR systems and the Microsoft Office suite.
- Advanced Excel skills and demonstrated experience with HRIS systems
- A discreet, professional approach to managing confidential and sensitive information.
- A customer-focused mindset and confidence in managing diverse stakeholders.
You'll get bonus points if you have:
- Experience using our foundU software (as an admin or an employee).
- Experience working within a SaaS tech organisation, or a multi-entity organisation.
- Familiarity with modern awards and Australian employment frameworks.
- Excel skills with exposure to HR data analysis and reporting.
- Experience coordinating cultural, engagement, or learning initiatives.
