Position Summary

The Event Operations Administrator plays a key role in supporting the successful planning and delivery of events by coordinating operational logistics and managing finance-related tasks. This role bridges the gap between the operations, logistics, inventory, and finance teams, ensuring all event details are accurately captured, documented, and delivered to a high standard.

The ideal candidate will be highly organised, detail-oriented, and comfortable working in a fast-paced, deadline-driven environment.

Key ResponsibilitiesEvent Operations Support

  • Update and maintain event details in internal systems.
  • Ensure all event documentation is complete, accurate, and up to date (e.g. floor plans, delivery notes, run sheets).
  • Liaise with the logistics and operations teams to confirm delivery schedules and resource requirements.
  • Conduct thorough checks of event documents to ensure smooth on-site execution.
  • Support event coordination through phone, email, and internal communication platforms.

Inventory and Asset Management

  • Work closely with the Inventory Supervisor to manage item availability and returns.
  • Track missing or damaged items post-event and liaise with clients regarding costs or replacements.
  • Maintain accurate inventory records, ensuring systems reflect real-time item movement.

Finance & Accounts Receivable

  • Process and manage event security bonds, including issuing, tracking, and returns.
  • Liaise with clients regarding any charges for damages, missing items, or additional costs.
  • Monitor accounts receivable, ensuring invoices are paid in a timely manner.
  • Follow up on outstanding payments and assist in processing client payments as required.

General Administration

  • Provide day-to-day administrative support to the operations team.
  • Manage incoming phone calls and client email enquiries professionally and efficiently.
  • Support ad hoc projects and administrative tasks as required by the team.

  • Proficient in Microsoft Office
  • Experience with Xero is desirable

Experience & Qualifications

  • 2+ years in an administrative, operations or event coordination role
  • Experience in events, logistics, or related industries preferred
  • Knowledge of inventory or CRM systems is advantageous
  • Basic finance or accounts receivable experience is essential

Pay: $49,900.00 – $70,000.00 per year
