Finance and Operations Coordinator

Location: Head Office in Golden Grove (SA)-with flexible hybrid work options

What You'll Do

Financial Management & Governance

  • Manage accounts, payroll, budgeting, reporting, and audits
  • Ensure compliance with accounting standards and regulatory requirements
  • Administer research grant financial agreements and liaise with research stakeholders
  • Coordinate external audits and fulfil reporting obligations

Research & Grant Administration

  • Coordinate annual research grant rounds and other awards
  • Support stakeholders in maintaining and refining grant documentation
  • Track grant budgets and oversee the research project pipeline

IT & Systems Coordination

  • Be the primary contact for the external IT provider
  • Support staff with IT issues and ensure cyber security compliance
  • Oversee user access, backups, antivirus protection, and system updates

Executive & Operational Support

  • Provide high-level support to the CEO, including Board/sub-committee papers and minute-taking
  • Manage travel and accommodation bookings as needed
  • Identify workflow efficiencies to improve team operations

Team Collaboration

  • Work alongside the Fundraising and Communications Officer (who handles data entry and donations)
  • Maintain accurate records and support the smooth operation of the team

About You

  • Experienced in financial management, reporting, and payroll (preferably not-for-profit)
  • Self-starter, problem solver, and leader with initiative, discretion, and maturity
  • Thrives in a small, mission-driven team
  • Strong organisational and stakeholder communication skills

Qualifications & Requirements

  • Relevant tertiary qualification in finance, accounting, or business (or equivalent experience)
  • Proficiency in Xero and Microsoft Office Suite
  • Charitable sector experience is desirable
  • Current driver's licence
  • Some out-of-hours work and interstate travel may be required
