Horizon Community Services (HCS) is a growing NDIS provider delivering disability support, in-home assistance, community participation and capacity-building services. With an expanding participant base, multiple ongoing service agreements, rostered staff and regulatory compliance requirements, the organisation requires a skilled Office Manager to ensure the effective coordination of administrative functions, workforce support, record management, and operational efficiency.
Key Responsibilities:
- Manage and oversee daily office operations to ensure efficient workflow and service support.
- Supervise administrative staff, including scheduling tasks, training, performance support, and work allocation.
- Maintain and update client and workforce records, ensuring documentation meets NDIS audit and compliance standards.
- Oversee recruitment onboarding tasks such as worker screening checks, Blue/Yellow Card, police check, NDIS Worker Screening, training logs.
- Manage staff rosters and scheduling, ensuring adequate support worker coverage to meet participant requirements.
- Support payroll processing by verifying timesheets, attendance records and shift logs.
- Maintain office resources, supplier accounts, and budgeting for operational needs.
- Liaise with participants, families, and partner providers regarding administrative matters and service information.
- Prepare operational reports and communicate updates to the Operations Manager.
- Ensure organisational policies, WHS procedures, privacy and confidentiality standards are adhered to.
- Assist in developing and improving administrative systems to support business growth.
Core Skills & Qualifications:
- AQF Associate Degree, Advanced Diploma or Diploma (ANZSCO Skill Level 2)
- At least three years of relevant experience may substitute for the formal qualifications listed above.
- Proven experience managing office operations and supervising staff.
- Strong organisational, leadership, and communication skills.
- Sound knowledge of budgeting, procurement, and compliance processes.
