About the role
We are seeking an experienced and proactive Office Manager to join our team at Victorian Hand Surgery Associates' in Fitzroy, VIC. This is a full-time position that will play a crucial role in ensuring the smooth and efficient running of our medical practice.
What you'll be doing
- Oversee and coordinate all administrative operations, including managing health and safety, maintaining office supplies, and handling client inquiries
- Develop and implement office policies and procedures to streamline workflows and improve productivity
- Manage the appointment booking system, ensuring patients receive timely and professional service
- Handle financial tasks such as invoicing, payroll, and budgeting
- Act as the primary point of contact for patients and medical staff
- Assist with the implementation of new technologies and systems to enhance the practice's efficiency
- Ensure the office environment is well-maintained, clean, and welcoming for all visitors
What we're looking for
- Extensive experience (2+ years) in an office management or administrative role, preferably within a medical or healthcare setting
- AQF Associate Degree, Advanced Diploma or Diploma
- Excellent organisational and time management skills, with the ability to prioritise tasks and multitask effectively
- Strong interpersonal and communication skills, with a focus on providing exceptional customer service
- Proficient in using various office software, including Microsoft Office suite and practice management systems
- Experience with Genie Solutions practice management system is essential
- Knowledge of medical terminology and healthcare industry regulations and compliance requirements
- Demonstrated ability to work independently and as part of a team
- A calm and professional demeanour, with the ability to handle stressful situations with composure
