About the role

We are seeking an experienced and proactive Office Manager to join our team at Victorian Hand Surgery Associates' in Fitzroy, VIC. This is a full-time position that will play a crucial role in ensuring the smooth and efficient running of our medical practice.

What you'll be doing

  • Oversee and coordinate all administrative operations, including managing health and safety, maintaining office supplies, and handling client inquiries
  • Develop and implement office policies and procedures to streamline workflows and improve productivity
  • Manage the appointment booking system, ensuring patients receive timely and professional service
  • Handle financial tasks such as invoicing, payroll, and budgeting
  • Act as the primary point of contact for patients and medical staff
  • Assist with the implementation of new technologies and systems to enhance the practice's efficiency
  • Ensure the office environment is well-maintained, clean, and welcoming for all visitors

What we're looking for

  • Extensive experience (2+ years) in an office management or administrative role, preferably within a medical or healthcare setting
  • AQF Associate Degree, Advanced Diploma or Diploma
  • Excellent organisational and time management skills, with the ability to prioritise tasks and multitask effectively
  • Strong interpersonal and communication skills, with a focus on providing exceptional customer service
  • Proficient in using various office software, including Microsoft Office suite and practice management systems
  • Experience with Genie Solutions practice management system is essential
  • Knowledge of medical terminology and healthcare industry regulations and compliance requirements
  • Demonstrated ability to work independently and as part of a team
  • A calm and professional demeanour, with the ability to handle stressful situations with composure
