We are seeking an experienced and highly organised Administration, Accounts & Compliance Officer to support the daily operations of our transport company. This role is hands-on and varied, requiring a proactive individual with strong attention to detail, excellent communication skills, and the ability to manage multiple responsibilities simultaneously.
The successful candidate will handle administration, accounts processing, scheduling, compliance documentation, safety coordination and HR support. Experience within the transport industry or with regulated operating environments is highly preferred.
Key ResponsibilitiesAdministration & Office Support
- Provide day-to-day administrative support to the Director
- Manage incoming calls, emails, and general enquiries
- Maintain accurate filing systems, records, and data entry
- Coordinate and manage office processes to ensure smooth workflow
- Intermediate Microsoft Office skills essential
- Process Accounts Payable and Accounts Receivable
- Prepare and send invoices, reconcile statements, and follow up on debtors
- Process payroll accurately and on schedule
- Complete bank reconciliations, financial entries, and reporting in MYOB
- Assist with daily scheduling of transport runs
- Communicate with drivers and allocate jobs effectively
- Update internal job boards and operational records
- Maintain documentation related to Mass Maintenance requirements
- Ensure all compliance records are complete, accurate and audit-ready
- Monitor deadlines, record keeping, and operational compliance processes
- Help implement and uphold the company's WHS program
- Maintain safety records, incident reports and training documentation
- Support compliance with safety policies and procedures
- Assist with onboarding and induction of staff
- Maintain employee records, licences, and training registers
- Support basic HR administration tasks as required
- Mature, reliable, and professional
- Highly organised with strong attention to detail
- Experienced in administration and accounts roles (transport industry experience advantageous)
- Confident MYOB user (mandatory)
- Strong time management and ability to work independently
- Familiar with compliance, audits, and safety documentation
- Excellent communication and interpersonal skills
- Able to adapt to changing priorities in a fast-paced environment
- Flexible working hours (4–5 hours per day, Monday–Friday)
