The Opportunity
We are seeking a motivated Client Care Assistant with proven experience in client support and administration to join our dynamic team in our modern Sydney CBD/Chatswood office. This is an excellent opportunity for a proactive professional looking to work in a forward-thinking, collaborative environment. You will play a vital role in supporting our team by managing client outreach activities and providing essential administrative support in our day-to-day operations, helping us strengthen client relationships and keeping our operations running smoothly.

Key Responsibilities
Client Care

  • Assist in calling new clients to introduce our services and establish initial contact, providing a great first impression, and guiding them through the initial stages of their case
  • Handling appointment bookings, reschedules, reminder calls, and activities as needed to ensure excellent client service
  • Actively monitoring follow-up queues, booking initial conferences and converting potential clients into active clients
  • Maintain detailed logs of calls made, outcomes, and follow-up actions
  • Schedule follow-up calls or meetings to nurture client relationships
  • Visit stakeholders and clients in person or virtually, as needed, to foster engagement and support
  • Supporting the team in meeting client acquisition goals through effective communication and follow-up.

Administrative Support

  • Handle general office duties such as filing, data entry, and document preparation
  • Support ad-hoc requests from team members to ensure efficient daily operations

Who We Are Looking For

  • Proven experience in a support, client-facing, or administrative role, preferably within a professional service or legal environment
  • Experience in making outbound calls, scheduling, and maintaining detailed records
  • Excellent communication skills, both written and verbal, with the ability to confidently liaise with clients and stakeholders
  • Strong organisational and time-management skills, capable of managing multiple priorities efficiently
  • Confidence in making outbound calls and liaising with clients and stakeholders
  • Proficiency with office systems; experience with legal practice management software (e.g. Actionstep) is advantageous but not essential
  • Proactive, solutions-oriented approach with attention to detail and professionalism
  • Friendly, professional, proactive, and client-focused attitude
