Key Expectations of the Role
1. Operational Leadership
- Ensure the smooth, day-to-day running of the clinic—appointments, systems, rostering, and workflows
- Optimise patient flow while minimising wait times and improving service efficiency
- Oversee practice software, billing, Medicare compliance, and data security
2. People & Team Management
- Lead and support the administration and clinical support team with confidence and clarity
- Build a positive, high-performing workplace culture based on accountability and respect
- Manage performance reviews, recruitment, onboarding, and conflict resolution
- Champion a culture of continuous training and professional development
3. Financial Management
- Oversee budgeting, billing, financial reporting, and expenditure control
- Work with owners to ensure profitability and sustainability
- Manage fee structures, GP contracts, KPIs, and performance metrics
4. Compliance & Risk Management
- Ensure the practice meets accreditation standards and regulatory compliance
- Stay across Medicare updates, privacy laws, employment legislation, and clinical governance
- Maintain WHS and clinical risk registers, policies, and incident management processes
5. Communication & Stakeholder Relationships
- Maintain clear and respectful communication with owners, GPs, nurses, staff, and patients
- Act as the go-to problem solver for daily issues, patient concerns, and staff matters
- Represent the practice professionally with suppliers, health networks, and external stakeholders
6. Strategic Alignment & Innovation
- Bring the practice's mission, vision, and values to life through operational leadership
- Identify opportunities for growth, innovation, and process improvements
- Lead change initiatives such as digital health integrations or service expansions
7. Patient Experience & Care Culture
- Champion a patient-first approach at every level of care and service
- Handle patient feedback and complaints with empathy and professionalism
- Drive initiatives that enhance patient engagement, loyalty, and satisfaction
What You'll Bring
- Proven experience as a Practice Manager in a busy medical environment
- Minimum 1-2 years of Practice Manager experience in a medical setting is required
- Strong leadership skills with the ability to inspire and develop a positive, high-performing culture
- A sharp eye for detail and operational efficiency, ensuring compliance and seamless day-to-day running
- A natural people person – able to engage doctors, staff, and patients with professionalism and empathy
- Financial and business acumen, with the ability to balance clinical priorities with sustainable growth
- Basic budgeting experience is essential for effective financial management of the practice
- Australian work rights are required for this position
