Key Expectations of the Role

1. Operational Leadership

• Ensure the smooth, day-to-day running of the clinic—appointments, systems, rostering, and workflows
• Optimise patient flow while minimising wait times and improving service efficiency
• Oversee practice software, billing, Medicare compliance, and data security

2. People & Team Management

• Lead and support the administration and clinical support team with confidence and clarity
• Build a positive, high-performing workplace culture based on accountability and respect
• Manage performance reviews, recruitment, onboarding, and conflict resolution
• Champion a culture of continuous training and professional development

3. Financial Management

• Oversee budgeting, billing, financial reporting, and expenditure control
• Work with owners to ensure profitability and sustainability
• Manage fee structures, GP contracts, KPIs, and performance metrics

4. Compliance & Risk Management

• Ensure the practice meets accreditation standards and regulatory compliance
• Stay across Medicare updates, privacy laws, employment legislation, and clinical governance
• Maintain WHS and clinical risk registers, policies, and incident management processes

5. Communication & Stakeholder Relationships

• Maintain clear and respectful communication with owners, GPs, nurses, staff, and patients
• Act as the go-to problem solver for daily issues, patient concerns, and staff matters
• Represent the practice professionally with suppliers, health networks, and external stakeholders

6. Strategic Alignment & Innovation

• Bring the practice's mission, vision, and values to life through operational leadership
• Identify opportunities for growth, innovation, and process improvements
• Lead change initiatives such as digital health integrations or service expansions

7. Patient Experience & Care Culture

• Champion a patient-first approach at every level of care and service
• Handle patient feedback and complaints with empathy and professionalism
• Drive initiatives that enhance patient engagement, loyalty, and satisfaction

What You'll Bring

• Proven experience as a Practice Manager in a busy medical environment
• Minimum 1-2 years of Practice Manager experience in a medical setting is required
• Strong leadership skills with the ability to inspire and develop a positive, high-performing culture
• A sharp eye for detail and operational efficiency, ensuring compliance and seamless day-to-day running
• A natural people person – able to engage doctors, staff, and patients with professionalism and empathy
• Financial and business acumen, with the ability to balance clinical priorities with sustainable growth
• Basic budgeting experience is essential for effective financial management of the practice
