About UsEcoSmart Solar is a respected solar and electrical company based in Rockhampton, operating for over 21 years. We deliver residential and commercial solar, electrical and hot water services, and we're now strengthening our internal operations to support continued growth.
We're looking for a capable Operations and Administration Manager who can coordinate daily workflow while also taking ownership of key administrative duties across the business.
The Role
This is a hands-on role where you'll manage daily job flow and team coordination while also completing admin tasks that keep the business running smoothly. You'll work closely with the field team, office staff and management to ensure jobs, communication, paperwork, and customer interactions are handled efficiently and professionally.
Key Responsibilities- Oversee daily operations across solar, electrical and hot water services
- Manage scheduling, job allocation and workflow in ServiceM8
- Support and lead both field and administration team members
- Complete and oversee admin tasks such as invoicing preparation, documentation, job notes, timesheets and purchasing
- Maintain accurate customer communication and follow-up using HubSpot
- Use Xero for general admin-related tasks (no financial processing required)
- Monitor daily jobs/installations and resolve delays or issues proactively
- Maintain WHS, compliance and quality standards
- Improve internal systems, processes and office efficiency
- Liaise with customers, suppliers and contractors
- Provide management with reporting, insights and operational support
About You
This role suits someone who is organised, detail-focused and confident working across both operations and administration.
What You Bring- Experience in operations, administration or scheduling in a trade, construction, service or field-based environment
- Strong organisational skills with the ability to manage competing priorities
- Excellent communication and customer service skills
- Confident using digital platforms (ServiceM8, HubSpot, Xero experience ideal but not essential)
- Ability to lead, support and coordinate a small team
- High attention to detail and accuracy in admin tasks
- A proactive, solutions-focused mindset
