About CityMed CityMed is a mixed-billing family GP clinic in the heart of South Melbourne. We provide comprehensive primary care with access to allied health and operate Monday to Saturday to serve our local community.
About the role As Health Practice Manager, you will organise and control the practice's functions and resources (e.g. administrative systems, personnel and day-to-day operations) to ensure safe, efficient and patient-centred care. You'll lead operational excellence across people, processes, finance and compliance in a busy GP setting.
Key duties and responsibilities
· Plan and review office services, and set standards and priorities to optimise patient access, appointment flows, recalls and service quality.
· Allocate human resources, rooms and equipment across GP and allied health sessions; coordinate procedure and immunisation room readiness and supplies.
· Assign work and monitor performance (front-of-house, billing, claims reconciliation, recalls); coach staff and conduct performance reviews.
· Manage records and accounts including mixed-billing settings, Medicare/DVA claims reconciliation, daily takings and month-end reporting.
· Liaise with clinicians and external partners to coordinate daily operations, resolve issues and maintain smooth patient handovers.
· Maintain office equipment, supplies and IT, including vaccine cold-chain integrity and data security protocols.
· Ensure OHS and legislative compliance and keep the practice audit-ready (privacy, employment, billing and Medicare compliance).
· Coordinate HR lifecycle such as hiring, onboarding, rosters, training, supervision, performance management and payroll.
Qualifications and experience
· AQF Diploma or higher in Practice Management/Professional Practice Leadership, Health Administration/Health Services Management, or Business Administration/Management (relevant health disciplines considered case-by-case).
· Demonstrated experience in general practice or allied health operations, including Medicare and mixed-billing workflows.
· Strong people leadership, stakeholder liaison and problem-solving skills; sound knowledge of OHS, privacy and healthcare compliance.

Pay: $140,000.00 – $150,000.00 per year
