Vital Chemical is a recognised leader in sustainable environmental solutions, with expertise in erosion control, dust suppression, revegetation, and water treatment. We are looking for a detail-oriented and proactive Administration Assistant to provide essential support across our team, ensuring smooth day-to-day operations and exceptional service delivery.

Key Responsibilities


• Manage and monitor the enquiry email inbox, ensuring timely responses and accurate processing of requests.


• Handle incoming telephone enquiries promptly and record relevant details in HubSpot.


• Provide administrative support to the Sales team, including accurate and efficient preparation of quotes.


• Welcome clients and visitors, oversee sign-in/out procedures, and maintain a professional reception experience.


• Receive goods inwards and action paperwork as required.


• Support Production team with printing product label and production procedures.


• General housekeeping duties to maintain the offices, kitchens and meeting areas.


• Monitor and replenish office supplies, groceries, and stationery across sites, prioritizing sustainable options.


• Manage incoming and outgoing mail and parcels, ensuring accurate record-keeping.


• General administrative duties as required, including laminating, binding, filing, photocopying and data entry.


• Take and distribute meeting minutes to relevant stakeholders.


• Support the Executive Assistant with event coordination and meeting set up / pack up.


• Support with onboarding of subcontractors.


• Support dispatch team with orders tracking, inspecting, invoicing and stocktakes.


• Transport documents and goods between sites as required.

About You


• Strong organisational and time management skills with the ability to prioritise tasks effectively.


• Excellent communication skills, both written and verbal, with a professional and friendly manner.


• High attention to detail and accuracy in all administrative tasks.


• Proficient in Microsoft Office Suite.


• Ability to work independently as well as collaboratively within a team environment.


• Ability to perform with minimal supervision, as well as take directions from the Business Support Lead.


• Adaptable and flexible to manage changing priorities in a fast-paced environment.


• Valid driver's license.


• Willing to obtain police check, licence history record, and undergo a pre-employment drug and alcohol test and meet ongoing random testing.
