The Office Manager will serve as a crucial link between site teams, office operations, and clients, ensuring that tasks are executed efficiently and projects progress seamlessly.
As a proud local family-owned business committed to outstanding customer service and award-winning results, this role will enhance operational efficiency, manage administrative responsibilities, and ensure the smooth functioning of this dynamic office.
This role involves overseeing general office operations and encompasses a variety of tasks, including managing appointments and schedules for team members, overseeing office supplies, coordinating team meetings, and taking minutes for reporting purposes. Additionally, the position requires the preparation of client documentation, such as new presentation folders and proposal delivery information, as well as assisting in event delivery by coordinating marketing materials and developing branding.
Key responsibilities and accountabilities:
1.) Managing the day to day office requirements including office supplies and stationery requirements.
2.) Co-ordinate face to face meetings with clients for team members, primarily the owner Adam, including diary management and appointment bookings.
3.) Oversee staff interactions and respond to their queries on office management issues.
4.) Work to update office policies and procedures and document where necessary.
5.) Assist with the management of the Contract process and transition to the Selection process including scanning of signed documentation and sending to clients.
6.) Support the Selection & Design Manager in the administration of the Selection process, creation of folders and support materials.
7.) Assist the Project Manager with required project documentation for on-site team members as well as the preparation of Handover Folders for clients.
8.) Assist with the planning of all in-house or off-site activities of the business including the annual Trade Show and Staff recognition dinner.
9.) Liaise and attend internal meetings to assist in the performance of duties and to aid in overall business development and improvement.
10.) Keep the Floor Plan folders up to date with new floor plan designs.
11.) Add new contacts / suppliers / clients to the Customer Management System – Pipedrive.
12.) Embrace new systems or technology changes which will support efficiencies or improve client or business outcomes.
Required: 2+ years of experience in office management or similar administrative role
Proficient in Microsoft Office Suite.
