We have a fantastic opportunity for a self-motivated, collaborative and customer-focused professional to join our Finance team in Melbourne.

Primary Duties and Responsibilities

  • Responsible for the collection of overdue accounts and the management of a large debtor portfolio.
  • Attend to client enquiries and liaise on accounts rendered, with the objective of facilitating positive outcomes and settlement of outstanding debts.
  • Generate and distribute monthly statements and related reports via email.
  • Initiate contact with a minimum of 30 clients daily regarding outstanding invoices. On days when statements and trust reviews require action, a minimum of 20 client telephone calls is expected.
  • Process credit card payments.
  • Perform credit checks for new clients.
  • Approve reversal of invoices.
  • Process debtor write offs and issue credit notes in accordance with established procedures.
  • End of month reporting and ad hoc reports for internal /external clients.
  • Conduct a debt and trust review for potential trust to office payments.
  • Assist with un-allocated EFT payments and arrange refunds for overpayments.
  • Manage and liaise with external Debt Recovery Agencies on our debtor portfolio.
  • Oversight and timely management of the Collections inbox.
  • Maintain accurate and well-organised file notes pertaining to debt collection activities.
  • Comply with established policies and procedures to ensure the effective collection of outstanding invoices, including reminder letters.
  • Liaise with the Finance Manager/Director and COO regarding outstanding debtors, trust accounts and WIP.
  • Participate in meetings to discuss overdue debtors, including proposing, agreeing and managing the course of recovery action.
  • Assist the Finance Manager with ad hoc credit related tasks.
  • Maintains strong information security awareness and follows firm protocols to reduce risk. Stays informed about potential threats, applies best practices, and takes proactive steps to protect the firm's systems, data and client information.

Skills/Knowledge

  • Strong analytical skills and attention to detail.
  • Excellent organisation and time management skills.
  • Effective communication skills with a customer-first approach.
  • Ability to prioritise workload, remain calm under pressure and work independently as well as part of a team.
  • Hold and maintain a professional approach when dealing with difficult clients.
  • Excellent level of written and oral communications skills.
  • Excellent interpersonal skills with the ability to develop rapport at all levels of the firm.
  • A collaborative mindset with the confidence to contribute to cross-functional teams.

Experience

  • Proven experience in a credit control role in a legal (preferred) or professional services environment.
  • Confident in managing client relationships over the phone and by email.
