The Royal Australasian College of Surgeons (RACS) is the leading advocate for surgical standards, professionalism and surgical education in Australia and Aotearoa New Zealand. The College is a not-for-profit organisation that represents more than 8600 surgeons and 1300 surgical trainees and Specialist International Medical Graduates.
RACS also supports healthcare and surgical education in the Asia-Pacific region and is a substantial funder of surgical research. There are nine surgical specialties in Australasia being: Cardiothoracic Surgery, General Surgery, Neurosurgery, Orthopaedic Surgery, Otolaryngology Head and Neck Surgery, Paediatric Surgery, Plastic and Reconstructive Surgery, Urology and Vascular Surgery.
About the Role
In this key role, you will provide high-level secretariat and executive support to various committees within the State Office, ensuring efficient processes, timely actions, and effective communication. Your expertise in administrative processes will be essential in maintaining office policies and driving continual improvements in how we operate.
Key Responsibilities
- Provide secretariat support to multiple committees including the SA State Committee, State Executive Committee, State Trauma Committee, and Younger Fellows Advisory Committees.
- Coordinate and manage approximately 20 meetings per year, preparing agendas, meeting papers, minutes, and action items.
- Work closely with the State Manager, Chairs, and other stakeholders to ensure committees are well-supported and effectively represent a diverse Fellowship.
- Contribute to the smooth running of committee elections and maintain accurate committee records in RACS systems.
- Identify process improvements, streamline procedures, and support ad-hoc events and projects as needed.
Essential Skills & Qualifications
- Excellent written communication and organisational skills, with the ability to draft clear agendas, reports, and minutes.
- A strong track record in managing multiple priorities while meeting deadlines and maintaining high-quality outputs.
- A process-driven mindset, always looking for ways to enhance efficiency and streamline operations.
- Ability to handle sensitive committee discussions with confidentiality and professionalism.
- Proven interpersonal skills with a collaborative approach to working across teams and with stakeholders at all levels.
This role is part time, 3 days per week.
