Executive Assistant & Office Manager

Summary of the Role

We're a growing, independent creative communications group looking for a sharp and proactive Executive Assistant & Office Manager to keep our leadership humming and our agency running like a dream. You'll be the connective tissue across the business - owning the office environment, driving day-to-day operations, and providing executive support to the CEO and CCO. 

This is a hands-on, visibility-heavy role for someone who loves pace, solves problems before they arrive, and wants a front-row seat to how a modern creative agency runs.

About the Role

You'll split your time between 60% Executive Assistant responsibilities (diary, travel, board/leadership support, stakeholder management) and 40% Office Management (facilities, vendors, IT coordination, onboarding, culture and events). You'll work with all departments, act as first point of contact internally and externally, and be trusted with confidential information and business-critical logistics.

We're a pro-sports team (not a family). Every role is game-critical, including this one.

Key Responsibilities

Executive Support

  • Manage busy calendars, inboxes and priorities for the CEO and CCO.
  • Support across ad hoc priorities, including some personal matters.
  • Track leadership action items and OKRs; chase inputs and keep momentum.
  • Handle expenses, reconciliations and executive purchasing with absolute discretion.
  • Build strong relationships with clients, partners and suppliers; act as a trusted point of contact.

New Business & Agency Profile

  • Support CEO and SLT in network nurturing and new business initiatives
  • Support across new business pitches and RFIs and tenders
  • Event management and dinners and client hosting where necessary
  • Agency Profile support across website, eDM and Linkedin platforms.
  • Facilitating conference attendance, including travel arrangements where necessary.
  • Database and contact growth and management

Office Management & Operations

  • Own the office environment for ~30 people: supplies, kitchen, meeting rooms, visitors, keeping the office clean, tidy and well stocked.
  • Manage vendors (building management, cleaners, couriers, IT partners, contractors)
  • Oversee AV and meeting room reliability; troubleshoot or escalate as needed.
  • Maintain office budgets and reconciliation
  • Keep asset registry updated, overseeing repairs and replacements
  • Lead minor facilities projects and improvements (layout changes, maintenance, fit-out tweaks).
  • Administer Google Workspace and common tools including (password managers, contact lists,

People, Culture & Onboarding

  • Run new-starter onboarding end-to-end (laptops, accounts, access, inductions) in partnership with GM.
  • Coordinate internal communications (announcements, birthdays, updates) and support Culture Club initiatives.
  • Plan and execute team events, offsites and client hosting with polish and reliability.

Skills & Experience

  • 2-3 years' experience as an EA, Office Manager or similar hybrid role - ideally in a creative, media, tech or fast-paced environment.
  • Outstanding organisation and time management; ruthless prioritisation under shifting deadlines.
  • Confident communicator (written and verbal) with warmth, professionalism and diplomacy.
  • High integrity and discretion handling sensitive information.
  • Strong problem-solver with a proactive, "I've got this" mindset- comfortable rolling up your sleeves.
  • Google Workspace skills (Gmail, Calendar, Drive, Docs, Sheets, Slides); comfortable with Microsoft Office.
  • Tech-savvy; able to triage basic IT and coordinate with external support.
  • Vendor and budget coordination experience
