What We Do:
We provide fiduciary services to a diverse client base, including:
- International investors in significant Australian property transactions.
- Fund and asset managers both locally and internationally.
- Registered schemes with large numbers of individual unitholders.
- Wholesale schemes, including private equity, traded investments, and property trusts.
- Smaller bespoke matters requiring tailored solutions.
Role Overview:
The Finance & Administration Manager plays a pivotal role in managing and enhancing the internal financial, accounting and administrative operations of the Evolution Trustees group. This includes leadership of a small offshore accounting team and responsibility for internal reporting, payroll, billing, budgeting and corporate administration activities.
The role is ideal for a candidate from a business services, audit or management accounting background.
You will be expected to coordinate and supervise the delivery of all core finance processes, ensuring compliance, efficiency and accuracy across the organisation's financial and administrative functions.
Work mix:
~30% hands-on (accounting tasks, reconciliations, payroll, analysis)
~70% supervisory/review (offshore team management, process oversight, approvals, quality review)
Key Responsibilities:
Financial Reporting & Compliance
- Oversee the preparation of audited annual financial statements for all Evolution group corporate entities.
- Coordinate audit processes and manage relationships with external auditors and advisors.
- Supervise and review BAS, payroll tax, income tax returns and other statutory filings.
- Maintain strong financial controls, documentation and accounting policies.
- Ensure internal reporting complies with relevant accounting and tax requirements.
Management Accounting
- Lead the preparation and review of monthly management accounts, including variance analysis and commentary.
- Supervise offshore staff preparing journals, reconciliations and monthly schedules.
- Prepare and maintain budgets, forecasting models and cashflow projections.
- Support senior leadership with financial insights and ad hoc analysis.
Accounts, Payroll, Billing & Administrative Processes
- Oversee accounts payable processes and vendor payment cycles.
- Supervise offshore debtors collections, ensuring timely follow-up of outstanding amounts and escalation when needed.
- Maintain robust payment controls and reconciliations.
- Manage the end-to-end payroll process, including compliance, superannuation and PAYG.
- Oversee the management of the leave register, ensuring accurate tracking and reporting.
- Lead the monthly billing cycle, including invoice preparation, revenue reconciliations and adjustments.
- Ensure internal approval workflows and authority limits are adhered to.
Board Reporting & Corporate Governance
- Coordinate preparation of materials for board reporting, including management accounts, KPI reporting and compliance updates.
- Supervise offshore staff responsible for preparing KPI datasets and monthly reporting metrics.
- Provide Company Secretary support, including drafting minutes, managing action items and circulating board packs.
- Manage regulatory capital reporting and associated statutory obligations.
People Leadership & Development
- Lead and supervise a team of three offshore accounting staff, ensuring high-quality work and timely deliverables.
- Provide training, coaching and guidance to offshore team members.
- Promote strong communication, documentation and a culture of continuous improvement.
Process, Risk & Technology
- Identify and implement improvements to internal finance and administrative processes to enhance accuracy, efficiency and scalability.
- Maintain strong governance, controls and compliance practices.
Support the effective use and optimisation of the internal technology stack, including:
Xero – accounting
- Calxa – consolidations and reporting
- Zoho – workflow / CRM
- Caseware – Statutory reporting
- SharePoint– documents & reporting
- Zoho Analytics – dashboards
- Weel – corporate cards and accounts payable
General Office Management
- Oversee day-to-day office operations to ensure a well-functioning and organised workplace.
- Manage office procurement and vendor relationships.
- Coordinate office maintenance, repairs and service providers.
- Support onboarding logistics, including desk setup, access, equipment coordination and induction materials.
- Maintain shared office calendars, meeting room coordination and general workplace communications.
- Ensure office policies, WHS requirements and emergency procedures are up to date and communicated.
- Liaise with building management on access, security passes and operational matters.
Qualifications & Experience
- 3–7 years' experience in business services, audit, outsourced accounting or financial reporting.
- Strong technical understanding of accounting standards, tax compliance and financial controls.
- Experience managing or supervising offshore or junior team members.
- Strong communication and stakeholder management skills.
- Proficiency in Microsoft Excel and cloud-based accounting platforms (Xero preferred).
