Allied Health Administration Assistant
Ongoing, Part Time Role
• 40 hours per fortnight
• Parkville location
• Salary between $58,442 to $64,606 (pro-rated for part time) depending on experience
An exciting opportunity exists for an experienced administrator to join our Allied Health team, working predominantly with the Occupational Therapy, Physiotherapy, and Spiritual Care services.
This varied role is an integral part of supporting our clinicians, patients, students, and leaders, contributing to the smooth delivery of world-class cancer care.

Key Responsibilities
• Provide high-quality administrative support to allied health teams
• Assist patients with queries and service navigation
• Manage stock ordering, invoicing, and supplies
• Record and distribute accurate meeting minutes
• Support onboarding processes for staff and students
• Provide support, when required, to the Director and Deputy Director of Allied Health and Support Services
• Assist with cross-coverage of administration across other allied health services as required
The Successful Candidate Will Possess
• Prior administrative experience, ideally within healthcare or working with clinicians
• Excellent customer service, communication, and problem-solving skills
• Strong organisational skills with the ability to manage competing priorities
• Familiarity with medical terminology (desirable, but not essential)
• Competence with IT applications including Microsoft Office
• Ability to work collaboratively in a fast-paced, patient-focused environment

Position SummaryThe role completes routine functions required by an allocated disciplines, including one or two of Physiotherapy, Occupational Therapy, Nutrition, Speech Pathology, Spiritual Care, Social Work, Art Therapy and Music Therapy. To greet and assist patients/carers at reception and via phone.
To provide ad hoc reception, secretarial and administrative support to the Director of Allied Health (AH), Deputy Director of AH and AH Managers and their departments.

Skills
Essential Requirements
1. Ability to work closely with clinical team
2.Computer literacy including Microsoft Word and Office packages
3.Ability to learn and apply new systems as appropriate to role (Oracle, VHIMS/Riskman, HEN database, EMR)
4.Excellent interpersonal skills including phone and reception duties
5.Ability to prioritise work and meet deadlines
6.Demonstrated ability to exercise judgement, show initiative and maintain confidentiality in performance of tasks
7. Knowledge of medical terminology

1.Experience in a hospital or other clinical setting
Key Accountabilities
1.General customer service
- Greeting of visitors (physically and via phone) to the department and directing appropriately ·
- liaison and coordination of Home Enteral Nutrition (HEN) ordering and invoicing as required
- Courteous and friendly manner observed at all times ·
- Provide leave and ADO cover to administration team as directed
- Liaison and coordination of aids and equipment program.
- Administrative support for Director of AH, Deputy Director of AH, AH Managers
2.Teamwork and Communication
- Participates in relevant meetings and activities
- Assists in orientation and support of new staff and students as directed
- Clear communication with Manager and admin team
3.Administrative and Clerical duties
- Maintenance of equipment and supplies
- Filing, documentation and general data entry
- Book meeting rooms and event management as required and directed by Managers/other staff
- Scanning and photocopying as required by team
- Delivery of documents to relevant departments as requested by Managers/other staff according to agreed timelines (such as timesheets)
- Store room management
- Invoice management as directed
- Data entry and collation of inservice and evaluation feedback as directed by Managers, including extraction of regular data reports (e.g. monthly EMR reports for managers)
- Conduct Workplace Safety Inspections as directed
- Minutes as required: - 100% of staff meeting minutes typed, emailed to department and filed within 3 working days of meeting
- Co-ordination of interviews
- Support Managers with People Hub (recruitment system), including on-boarding and orientation
- Patient confidentiality maintained
- Ad hoc rescheduling of patient appointments, prompt and accurate message taking
- Fire warden duties
- Assistance with student onboarding and orientation as directed
- Any other duties as directed
