We're on the lookout for an extremely organized and efficient Operations Coordinator for our fast growing startup. What you'll be doing
Working for a startup means you'll be doing a little bit of a lot of different things to help support the day-to-day coordination of business activities.
The role requires exceptional organizational, time management and project tracking abilities, as well as strong communication skills.
Operations
- Order fulfillment: You handle orders like a pro, ensuring orders are fulfilled smoothly and efficiently. You'll coordinate with fulfillment and ensure your timely deliveries keep our customers smiling.
- Shipment Coordination: You own the responsibility of coordinating shipments and are in constant communication with the team to make sure products are always at the right place at the right time.
- Performance Monitoring: You keep an eye on supply chain performance and find ways to make it even better.
- Replenishment Orders: You're good at forecasting demand and ensuring we always have sufficient stock levels.
- Sourcing: You work with the design team to source items and materials that are needed in order to bring products to life. In the process, you embrace learning about how products are made, and offer the design team suggestions to improve products or reduce costs.
- Supplier Relationships: You love to build and maintain strong connections with new and existing vendors.
- Commercial Analysis & Negotiating with Suppliers: You're able to jump into the commercials and use your business knowledge to negotiate advantageous terms with suppliers.
- Database Management: You meticulously manage the database to ensure accurate recording of new orders and maintain up-to-date inventory and accounting systems. You regularly update records and perform data analysis to support efficient supply chain operations.
- Project Management: You're extremely organized, take initiative and get things done. You help to plan and execute new projects and keep team members accountable.

Special Projects: You love stepping out of routine, and are excited to work on special projects that you've identified are highly impactful to the business - whether that be establishing a new warehouse or coordinating the build of a new website. Your ability to get involved in any project and successfully manage projects to completion is very important.

- Creating Standard Operating Procedures: You know how to think about the day-to-day process flows to create efficient ways of doing things. You are skilled at the development, documentation and implementation of Standard Operating Procedures to enhance and streamline supply chain processes.
- Overcome the 'impossible': You are not afraid to question the status quo. You are fearless when it comes to achieving what they say is impossible and question information that doesn't seem right.
- Independent Problem solving: You're persistent in finding solutions to problems that need to be solved. While the team is always around to help, you are naturally an independent problem solver. Although you may not have faced a particular challenge before, you demonstrate confidence and find solutions.
What you bring to the table:
- Education: Bachelor's degree in Business Administration, Supply Chain, Accountancy or something similar.
- Experience: 1+ years experience in operations, project management, supply chain, order management and / or logistics coordination.
- Retail Experience: Ideally you've worked in the head office of a retail company
- Ability to work independently and as part of a team.
Required Skills:
- Communication and relationship-building are your superpowers.
- You're organized, detail-oriented, and a natural problem solver.
- Proficient in supply chain management software and tools such as any of the following or simliar: SAP and NAV, Zoho Inventory/Books etc.
- You can handle pressure and tight deadlines like a champ.
- You're excited about expanding your skills and owning new projects
- You're not afraid to pick up the phone to get things done.
- Familiarity with international shipping and customs regulations
- Proficient in data entry, management, and analysis.
- Experience with replenishment and demand forecasting.
- You don't mind jumping in to help in the warehouse when needed, and enjoy getting out to stores to support with new store launches and setups.
- Experience working with overseas factories
- Advanced proficiency in Excel for data analysis
- Must have permanent Australia work rights or a valid working visa
