The Role
As the first point of contact for our patients, you'll be responsible for managing front desk operations, coordinating appointments, and supporting the day-to-day administration of the clinic. You'll work closely with our Director and clinical team to ensure every patient feels cared for and every detail is handled with precision.
Key Responsibilities
Provide exceptional customer service via phone and in-person
Manage appointment bookings, referrals, and patient communications
Process payments, reconcile accounts, and manage invoicing
Liaise with hospitals, anaesthetists, Medicare, health funds, and third-party providers
Maintain patient records and practice databases
Coordinate procedures and theatre lists
Support clinic operations including supplies, IT, and facilities
What You'll Bring
- Minimum 3 years' experience in medical reception/administration (specialist practice preferred)
- Proficiency in Microsoft Office and medical practice software – Xestro experience desirable
- Strong written and verbal communication skills
- Exceptional customer service and interpersonal skills
- High level of discretion and understanding of confidentiality
- Ability to work independently and as part of a close-knit team
- Organised, reliable, and committed to continuous learning
