We're looking for a highly organised and proactive Service Coordinator to join our dedicated service team. This key role supports the delivery of both maintenance and reactive works across multiple service contracts, working closely with our Contracts Manager and field technicians.

About the Role

As a Service Coordinator, you will be responsible for managing contract administration, scheduling technicians, coordinating subcontractors, and ensuring all documentation is accurate and complete. You'll also provide essential admin support and contribute to smooth operations across the business.

Key Responsibilities

Contract Coordination

  • Maintain service contracts, asset lists, and service schedules

  • Track contract milestones, maintenance tasks, and reactive callouts

  • Draft client communications regarding deliverables and variations

Scheduling & Job Coordination

  • Schedule field technicians for preventative and reactive work

  • Confirm job details, access requirements, and timeframes

  • Monitor job progress and ensure timely completion

Subcontractor Coordination

  • Issue purchase orders and manage subcontractor performance

  • Track job progress and collect all service documentation

  • Ensure compliance with contractual obligations

Job Close-Out & Documentation

  • Finalise job files with signed reports and closure notes

  • Upload all relevant documents to internal systems

  • Escalate unresolved issues or delays to the Contracts Manager

Client & Internal Communication

  • Liaise with clients regarding job status and performance reporting

  • Coordinate with technicians and internal teams to align with contract terms

  • Respond to enquiries from clients and colleagues

General Administration

  • Support broader business functions as required

  • Ensure administrative processes are followed and documentation is maintained

Skills & Experience
  • Proven experience in service administration, coordination, or contract support

  • Excellent organisational and time-management skills

  • Strong verbal and written communication abilities

  • Confidence dealing with clients, technicians, and subcontractors

  • Proficient in Microsoft Office; experience with Simpro is highly regarded

  • High attention to detail and ability to manage multiple jobs at once
