Full-Time Administrative Assistant

Sunlight Health Co is a professional and compassionate organisation based in Blackburn, Melbourne, committed to delivering high-quality behavioural support services to children and adults. We're currently seeking a reliable and motivated
Administration Assistant (bilingual-English & Mandarin)
to join our team. This vital role supports day-to-day operations, helps ensure NDIS compliance, and contributes to a positive experience for participants and staff.

Your Key Responsibilities:

  • Provide high-level administrative support to our team and clients
  • Manage client intake and scheduling appointments with therapists and support workers
  • Maintain accurate participant records and documentation on Cliniko and Echidna management software.
  • Assist with NDIS-related documentation, service agreements, and reporting. Monitor NDIS plan expiry dates and send reminders or renewal documentation.
  • Support day-to-day office operations
  • Assist accounts team with billing clients.
  • Assist the marketing team with scheduling and monitoring social media content.
  • Provide support to HR by maintaining staff profiles and track certificates and compliance

What We're Looking For:

  • Prior experience in administration (NDIS or healthcare sector preferred)
  • Bilingual- fluent in English and Mandarin.
  • Strong organisational and time-management skills
  • Excellent verbal and written communication
  • Attention to detail and a proactive attitude
  • Proficient in Microsoft Office
  • Familiarity with NDIS processes and platforms and Cliniko is a plus or we can train you.
  • A genuine interest in supporting individuals with disabilities

Requirement:

High proficiency in both English and Mandarin Chinese (reading, writing, and speaking) is essential.

First Aid Certificate (or willingness to obtain)
