Role Detail
Our pivotal Matter Accounting team are responsible for the financial management and record-keeping for legal matters (cases or transactions) handled by the firm, ensuring that every dollar spent, billed, or received in connection with a specific client matter is tracked accurately and in compliance with strict legal and regulatory standards. They provide process and system support to internal clients (team members within other finance functions, legal staff and secretaries).
Part of the Finance Department joining this core function within the firm's Matter Accounting Team, you will assist with clerical accounting tasks, entry level database administration, the maintenance of data integrity and production of user reports.
Reporting to the Matter Support Team Lead, with flexibility to be Melbourne, Sydney or Brisbane based, key responsibilities include:
- Providing support and assistance with client and matter opening and maintenance, including the management of tasks, phases and estimates using the Cosine Matter Planning system.
- Providing support and assistance with matter simple and complex billing, invoice reversal, reductions and rates
Providing assistance with the upload of electronic bills to various ebilling portals
In accordance with set guidelines, assisting with time write offs, transfers, modifications.
- Working closely with Practice Assistants and legal staff to assist them in managing their matters
- Conducting relevant system testing; providing feedback and making recommendations, suggestions and offering ideas on enhancements to the system and related procedures
- Developing and maintaining an in-depth knowledge of Finance and the firm's systems, functions, policies, procedures, external clients with a willingness to share knowledge
- Producing reports and data as required
About You
Your level of experience in a similar billing role will see you operate with greater autonomy and contribute at a higher level. You'll be working with confidential client and financial data so integrity and respect for confidentiality is essential.
You will bring a collaborative approach with a willingness to pitch in when needed and enjoy precision and consistency.
You will also need:
- 2+ years complex billing experience in professional services ideally from a legal background in Elite or Aderant
- Knowledge and experience with financial practice management systems (ideally Elite 3E & Cosine) and matter accounting processes gained within a professional services environment
- Experience in using a variety of ebilling portals and knowledge of accounting concepts
- Excellent communication skills (written and verbal)
- High level of attention to detail
- Ability and confidence to liaise with internal and external clients with professionalism and ease
- Working knowledge of Excel, Word, Outlook
- Good time management skills
- Capacity to multi-task and prioritise multiple streams of work with a flexible and proactive attitude
- Ability to identify and escalate issues in a timely manner
- Ability to identify gaps and suggest process improvements
- Demonstratable strong problem solving and resolution capabilities
