About the Role

  • Position: Events Coordinator

  • Type: Full-Time

  • Salary: $75K+ Base (pending experience) + Super + On Target Earnings

  • Probation: 6 Months

  • Reporting to: General Manager

As Events Coordinator, you'll take ownership of the event planning process from post-sale to execution. You'll work closely with clients and internal teams to ensure each event runs smoothly, meets expectations, and delivers the exceptional quality The Timber Yard is known for.

Key Responsibilities

  • Liaise with clients following sales handover to coordinate and finalise event details

  • Work closely with our Sales and Operations teams to ensure seamless communication and delivery

  • Prepare detailed event documentation including run sheets, floor plans, timelines, and logistics

  • Manage site inspections, pre-event briefings, and handovers to operations

  • Uphold clear and consistent communication with clients, suppliers, and stakeholders

  • Proactively manage deadlines, ensuring each event is delivered as contracted

  • Identify opportunities for improvements and ensure each event is tailored to exceed client expectations

  • Provide recommendations on floor plans, event flow, and enhancements

  • Coordinate any upselling of event extras to support departmental KPIs

You have a talent for getting things done, and your attention to detail is second to none. You bring people together so seamlessly that it looks effortless — but behind the scenes, your experience and foresight allow you to anticipate problems before they arise and elevate an event at just the right moment.

Holding a client's hand while juggling competing priorities comes naturally to you. You're cool under pressure and know how to keep all the moving parts in sync.

You take what's been agreed — the brief, the beverage package, the floor plan, the run sheet — and hand it to the operations team as a complete package, tied up with a bow.

You value structure and are diligent in your communication with clients, suppliers, and stakeholders. You're the glue that keeps the process on track.

Strong customer service and communication skills are essential, as is the ability to deliver under pressure. You meet deadlines and ensure each event reflects what was promised and agreed.

About You

  • 2+ years' experience in a similar Events Coordination role, preferably within an agency or large-scale venue

  • Proven ability to manage multiple events and priorities under pressure

  • Strong interpersonal and communication skills, both written and verbal

  • High attention to detail and strong organisational skills

  • A natural problem solver who remains calm and solutions-focused

  • Passion for delivering outstanding event experiences

  • Comfortable working on-site, hands-on, and as part of a collaborative team
