About the role
With continued growth in our Newcastle practice, a rare opportunity has become available for a full-time Legal Secretary to join our busy and high-performing CTP team.
This role will see you provide legal and administrative support to a leading partner and their team, working collaboratively with a team of support staff. Acting for major Australian insurers in compulsory third party (CTP) personal injury matters, the team is known for its supportive, encouraging and down-to-earth culture, where flexibility and shared successes are valued.
You will play a vital role in supporting the team and will be a key point of contact for both internal stakeholders and external service providers.
Your responsibilities will include:
- Diary, email and task management
- Drafting correspondence, legal documents, and briefs to Counsel and medical experts
- Liaising with clients, other law firms, medico-legal providers, the personal injury commission and courts
- File management, including opening/closing files and maintaining electronic records in iManage
- Assisting with monthly billing and matter reporting, with experience in Aderant highly regarded
About you
To succeed in this role, you will be an experienced Legal Secretary or Executive Assistant within a professional services environment with a proactive, organised and detail-focused approach to your work. You enjoy working in fast-paced roles and take pride in supporting your team to deliver high-quality legal services.
Your strong interpersonal skills and collaborative mindset will see you thrive in this team-based role, where your initiative and professionalism will be valued by partners and colleagues alike.
We are looking for someone who demonstrates:
- Prior experience in a legal support or executive assistant role, ideally within legal, insurance or professional services
- Strong organisational and time management skills, with the ability to meet deadlines and juggle competing priorities
- Excellent written and verbal communication skills, including confidence liaising with external stakeholders and service providers
- Proficiency in legal software and systems – experience with iManage and Aderant is desirable
- A team-oriented attitude, with the ability to work both independently and collaboratively
