About the Company
We are working with a state government client who is seeking an experienced PMO Coordinator.
The ideal applicant will be experienced in supporting program and PMO teams, with a strong background in coordinating and enabling business transformation activities. You will be comfortable working in complex environments with low levels of maturity, helping teams embed consistent practices, strengthen governance, and work effectively together
About the Role
There are a number of business transformation initiatives underway, or being initiated, to uplift the maturity of business practices that underpin service delivery of Infrastructure Services Division. The focus of the business transformation initiatives includes portfolio management, financial management, asset management, contract management and information governance & digital enablement.
As a PMO Coordinator you'll play a key role in supporting the successful delivery of the Portfolio and Financial Management Improvement (PFMI) Program through supporting the coordination, tracking, monitoring and reporting of the multiple projects within the PFMI Program.
- Support project delivery frameworks by contributing to the development, implementation, and continuous improvement of project management methodologies, standards, and tools to ensure consistency across the Program.
- Assist with planning and scheduling, working with project managers and teams to build, maintain, and execute project plans.
- Provide project support and administration, applying the Program's delivery methodology and assisting project managers as required.
- Monitor and track performance against milestones, deliverables, risks, and issues, escalating as appropriate.
- Manage project documentation including plans, status reports, risk registers, and other key artefacts, ensuring accuracy, accessibility, and currency.
- Promote PMO practices to support consistent application of agreed Program practices and templates. You will do this by guiding project managers and teams on processes, tools, and best practices to enhance delivery outcomes.
- Support knowledge management through the development and maintenance of a central project repository, capturing lessons learned and sharing best practices across projects.
- Foster client service excellence by establishing and maintaining collaborative partnerships with business units and stakeholders.
- Prepare and present reports and briefings that are accurate, timely, and comprehensive to support senior and executive management decision-making.
Program Secretariat responsibilities including:
Coordinating and managing agendas, papers, minutes, and action items for program boards, governance committees, and working groups.
Providing advice on meeting protocols, decision-making processes, and governance requirements.
Ensuring timely distribution of documentation and follow-up on actions and outcomes.

Building and maintaining strong stakeholder relationships to support effective communication and information flow
Other suitable duties, consistent with the duties and responsibilities of the position as directed by the supervisor or nominated delegate.
