**Purpose of the Role**

To support the Delivery & Installation Manager by managing system workflows, procurement administration, documentation, and install readiness processes. This role works closely with internal teams and external partners to reduce delays and improve coordination between sales, warehouse, and installation teams. The Coordinator is not responsible for on-site operations or warehouse supervision, which are managed by field-based Solar Lead Technicians. Instead, this role ensures the backend system, documentation, and logistics administration are completed efficiently and at scale.

**Objectives & KPIs**

Objective 1: Streamline Install Readiness and Admin Processes
- KPI 1: 95% of jobs marked Ready-to-Install within 5 business days of contract signing
- KPI 2: Reduce post-contract cancellations by 5% within 6 months

Objective 2: Manage Procurement Admin & Logistics Coordination
- KPI 1: 100% of required equipment scheduled for delivery at least 24h before scheduled install
- KPI 2: Zero install delays caused by logistics paperwork or system errors

Objective 3: Maintain Compliance and Documentation Accuracy
- KPI 2: Achieve 98% accuracy on internal compliance documentation audits

Objective 4: Improve System Handover Efficiency
- KPI 1: Reduce back-and-forth between operations and sales team by 30% within 6 months
- KPI 2: Deliver one process improvement per quarter to increase admin efficiency

**Responsibilities & Duties**

Sales to Operations Workflow
- Ensure customer records are complete and error-free prior to job scheduling
- Liaise with sales and operations teams to verify paperwork and system entries

Procurement & Logistics Admin
- Generate and track purchase orders for solar hardware via internal systems
- Confirm delivery schedules with suppliers and 3PL contacts (not site-based)
- Update system delivery records and notify stakeholders of any timeline issues

Compliance & Documentation
- Prepare and submit Notifiable Works and Heritage approvals
- Review and upload finance documentation for internal validation
- Maintain digital records in line with Clean Energy Council and rebate body standards

System Coordination & CRM Oversight
- Monitor the CRM for data accuracy, install readiness status, and bottlenecks
- Flag and escalate jobs that require intervention by the Manager or field technician
- Track issue resolution and update statuses to reduce scheduling friction

Customer Interaction - First Line Support
- Respond to incoming inquiries regarding install preparation, document status, or delivery timing
- Log customer support tickets and escalate to the Manager for technical concerns or disputes

Skills & Experience

Required:

- 2-4 years’ experience in operations coordination or project administration
- Strong administrative and organisational skills
- Familiarity with CRM platforms (Salesforce preferred)
- Excellent written and verbal communication
- Ability to manage high-volume documentation with precision

Preferred:

- Solar industry or trade-based coordination experience
- Understanding of solar finance, rebate programs, and compliance systems
- Experience with logistics coordination or inventory tracking tools

Pay: $80,000.00 - $95,000.00 per year
