**The Role**
We are seeking a Charters & Reservations Coordinator to join our team. In this pivotal role, you’ll manage reservations and enquiries, prepare detailed quotes and itineraries, liaise with agents and guests, and provide essential operational and administrative support. This position is perfect for someone with strong organisational skills, excellent attention to detail and the ability to thrive in a fast-paced environment.

**What You’ll Do**
- Manage booking enquiries from guests, agents, and internal stakeholders, providing accurate availability, pricing and product information.
- Prepare and issue detailed quotes, confirmations, itineraries, and pre-departure documentation.
- Coordinate private charter enquiries, including costing, itinerary design, scheduling and confirmations.
- Liaise with guides, operations staff, and third-party suppliers to ensure seamless logistics.
- Maintain centralised booking systems and charter calendars.
- Assist with roster planning, resource allocation and operational reporting.
- Support continuous improvement of operational policies, procedures, and safety documentation.
- Step in during peak periods or staff absences to provide operational cover.
- Maintain accurate administrative and filing systems, prepare reports, and reconcile bookings, payments, and supplier invoices.
- Build strong working relationships across reservations, operations, and guiding teams, supporting a collaborative and solution-focused work environment.

**What We’re Looking For**
- Experience in reservations, charters, tourism, or hospitality operations (preferred).
- Proven experience preparing quotes and itineraries (highly desirable).
- Strong administrative and coordination skills.
- Exceptional organisational skills and attention to detail.
- Clear, confident written and verbal communication.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Positive, professional approach when interacting with guests, agents, and colleagues.
- Proficiency in Microsoft Office; experience with reservations or CRM systems is a plus.
- Proactive, flexible, and solution-focused mindset.
