EmployEase is a well-established RTO located in Box Hill. Working alongside our parent company Healthcare Australia, EmployEase has built a strong reputation as a leader in the provision of vocational training specific to the Health and Community Services industry.
We are currently seeking an experienced Administrator; responsible for the day to day management and coordination of the Admininstration Department and staff.
This role encompasses administrative support at an organisational level.
**Key Responsibilities include but not limited to**:
- Manage a team of fulltime Administration and Reception staff, overseeing task allocations, duties and daily workflows
- Ensure all student files are created, managed and archived in accordance with Employ-Ease File Management procedures and compliance requirements
- Manage student enrolment procedure, processing and all documentation
- Invoicing, EFT processing and reconciliation, payment reconciliation and processing and updating all required documentation
- Ensure that Employ-Ease issues AQF qualifications and statements of attainment in accordance with Employ-Ease’ Certificate Issuance policy and procedure and that all AQF requirements are met
- Coordinate bi-annual student Graduation ceremonies
- Facilities Services management over 3 sites and other campuses as required, including repairs/maintenance, essential services checks, liaising with Landlords and sub-contractors
- Asset Management - including all company IT and telecommunications equipment
- Manage internal IT requirements, including all company IT equipment, VETtrak and LMS support to staff, students and trainers and manage internal staff requirements
- Attend all required Management and Staff Meetings
- Participate and provide assistance in annual internal Audits and any Audits conducted by Employ-Ease (external)
- Manage LMS support for Students and Trainers, including student activation, class set up, assessment management and follow up, recording results, transfers and resource assistance
- Manage and coordinate purchasing of general supplies and equipment for 3 leased sites

- An ability to manage, lead, organise and work independently as well as part of an effective team
- Knowledge of the Standards for Registered Training Organisations
- A high level of communication skills, both written and verbal
- Advanced computer skills
- The ability to identify a need and offer practical solutions
- The ability to relate to people from a diverse range of backgrounds and cultures
- The ability to generate and maintain a positive and supportive team environment
- A willingness to turn your hand to any task
