
Compliance Operations Officer

**Duties & Responsibilities**
- ensuring compliance deadlines (including but not limited to Annual Fire Safety Statements, defect deadlines, asset registration, by-law registration, section 55 certificates, lift registrations, roof anchors, phone lines, window locks, backflow tests, capital works fund forecasts, cooling towers, cladding and asbestos) are consistently met for all strata committee clients.
- reporting on managers’ and clients’ key performance indicators with respect to compliance in Strata Hub.
- arranging valuations, negotiating and placing insurances on behalf of clients for all schemes.
- monitoring all aspects of statutory and regulatory compliance of our clients on internal systems and the compliance register and providing feedback and highlighting deadlines and renewals to management and staff.
- involvement with other compliance-related matters (including but not limited to Strata Hub, creditor entry and compliance and strata management agency agreements as required)
- acting as the first point of contact for clients, suppliers and building managers with respect to all buildings, by-laws and certificate queries and issues.
- supporting and guiding the team of Strata Managers with the preparation, obtaining and issuing of by-law compliance letters and certificates of currency in accordance with legislation and/or management statements.
- monitoring performance metrics and participating in monthly governance meetings to ensure Strata Sense offshore services team meet the contractual service level agreement and any exceptions / incidents are escalated to management
- attending client-facing meetings to provide strata committees, owners and building managers with counsel, advice and ensure understanding of their compliance obligations and arrangements.
- acting as a point of contact with external suppliers and trades people to ensure that they understand the standards and requirements that must be satisfied.
- Ensuring the timely and accurate submission of required documents to the relevant authorities for certification, renewals and compliance.
- designing and managing workflows in Process Street with both clients and strata managers.
- ensuring that the strata management platform (Strata Master) is kept up to date at all times.
- initiating and executing improvement projects to ensure our practices with respect to compliance are leading in the industry.
- Coordinating and managing the work of an offshore service provider team including weekly check-ins and formal monthly performance reviews.
**Required Skills & Experience**
- At least 5 years’ experience operating within the Strata Management industry
- Certificate of Registration or Level 1 or 2 License (Strata Management)
- Detailed knowledge and experience of the strata management requirements as an agent for owners corporations, including but not limited to the compliance requirements under Section 22, Section 55 and Section 184 of the Strata Schemes Management Act 2015
- Exposure to insurance requirements and ‘Plant’ item registrations and compliance
- Knowledge of Strata Management Agency Agreements, inclusions and exclusions
- At least 5 years’ experience managing an offshore service provider and resources
- Able to anticipate customer needs via ongoing dialogue and research with and then develop and implement processes to monitor customer satisfaction levels.
- Constantly develops new and unique tools and information to enhance the client’s experience.
- Excellent communication and negotiation skills.
- High level of diplomacy and conflict resolution skills
- Experience with StrataMaster, StrataConnect and NSW Government’s Strata Hub platforms as well experience working with NSW Fair Trading on its compliance requirements.
- Experience with workflow tools such as Process Street and communication platforms like MailChimp are beneficial
