Job Summary*
To provide high level administrative and secretarial support to the Creative Director. Manage the Creative Director’s diary and arrange meetings and agendas. Assist the Creative Director to organise the workflow and follow up actions.
Manage and Coordinate business travel, occasional personal matters and support confidential administration.
**Key Responsibilities**
- Prepare and edit correspondence, communications and presentations
- Manage and maintain Creative Director’s schedules, appointments, and travel arrangements
- Arrange and co-ordinate meetings and events
- Advise and work with the managers on the critical timeline to ensure that it fits in with the Director’s diary
- Liaise with Management team to prepare for monthly board meetings, including sending agendas, requesting board material, booking the meeting, taking minutes, and preparing action item accountabilities at each board meeting
- Prioritise and ensure that reports, business papers and correspondence are dealt with efficiently and promptly.
- Identify and take any follow up action arising from the notes that are required. All actions identified and followed up before due dates.
- Review operating practices and implement improvements where necessary
- Advice the Director of matters requiring personal attention, with associated deadlines, and preparing relevant documentation
- Deal with matters requiring attention or refer them to the appropriate person in the absence of the Director.
- Diary management including making appointments and the coordination of the attendees
- Preparation of documentation for meetings and appointments
- Attending various internal meetings as timekeeper, minute taker and action task monitor
- Maintain an effective and confidential record & filing system for the Creative Director
- Preparation for events and media appointments
- Event planning and liaising with event providers
- Coordinating events as required
- Organising overseas & domestic travel itineraries both business and personal
- Manage business expenses
- Chauffeuring to and from meetings/appointments if appropriate
- Answer and manage incoming calls
- Liaise with internal staff at all levels
- Interact and build relationships with external clients
- Carry out special projects as allocated by the Director
- Monitor progress of projects allocated to staff by Director. Prepare reports to Director on progress and implement any actions.
- Assist with confidential information in a trustworthy manner
- Be prepared to cover reception if required
**Experience**
- Demonstrated Executive Assistant experience
- Advanced Proficiency in Excel, Word, PowerPoint, and Outlook
- The ability to prioritise responsibilities and work well under pressure
- Ability to multi-task at all times
- A result driven and hands on attitude
- Proactive, forward thinking, solution driven attitude
- Is accountable and takes ownership
- Detail oriented with exceptional organisation and task management skills
- Excellent communication skills (both written and verbal)
- Experience with minute taking and board management preparation
- Highly motivated, with a proactive and mature approach
- Passion for the fashion industry
- Tertiary Qualifications and/or relevant administrative/business studies
