**Administrative assistant**
**Your main responsibilities will be but are not limited to.**
- Provide customer service liaising with staff, residents, families, and external stakeholders as necessary.
- Undertakes a range of office procedure such as tours, typing up correspondence, preparing staff roster and processing pays.
- Mail opening & distribution, assisting in purchasing and ordering invoices, coordinating contracts and staff visa and vaccinations status.
- Monitoring petty cash and facility credit card. Photo copying, assisting with new employees and resident’s files.
- Provide reception services such as meet & greet, answer the telephone calls and direct and handle enquires.
- Assist care manager with mandatory education. Visa checks, staff vaccinations and contractors check.
- Assist in management system including data entry, updating lists, maintaining resident files, filing, storage, arching and disposal of records.
- Maintain fortnightly roster and assist facility manager with daily allocation of all staff, monitoring attendance and organise replacement of staff as necessary.
- Attend facility staff and resident meetings, prepare meeting agenda in consultation with GM&CM, write meeting minutes, distribute minutes, and coordinate the documentation in respect of staff and resident issues. Attend regular training.
**Position details**:
- Monday to Friday role 0900 to 1500 hours with possibility of part time hours.
**About You**:
- Previous experience working with rosters, payroll, and administrative assistant in aged care.
- Excellent communications skills both written and verbal.
- Provide excellent customer service, confident and switched on.
- Experience in a similar role
- Organized and has attention to detail.
