Job Description
**Your opportunity to join our team at North Ryde**
In this exciting newly created role,**you will enjoy a broad range of tasks encompassing both office management and general team assistant duties, supporting the EAs and senior leadership team, and day-to-day operations of the corporate office.
The role requires a proactive, adaptable professional, with a flexible ‘can-do’ attitude and experience in managing diverse administrative and executive tasks by thinking ahead and working autonomously, as well as in a team setting. Along with sharp attention to detail, the role requires advanced software and technology skills, and a genuine interest in the business. This will then provide opportunity to learn and grow and further into an Executive support career.
**Key responsibilities**:
- Team Assistant tasks:
- Administrative support to the EAs of the Executive Team including diary management, expense management and processing, inbox management, travel bookings, event planning and management
- General administration: assist with a range of tasks and processes including expense processing, compilation of documentation, and other ad hoc requests
- Team activities: Liaise with culture champions to assist with head office activities
- Develop and maintain relationships with key internal and external stakeholders
- Backup for Executive Assistants in their absence
- Assist with Corporate Reception and front office duties including lunchtime cover when required
- Office Management tasks:
- Oversee and support all administrative duties connected with the North Ryde head office and ensure office is operating smoothly
- Support onboarding activities of new hires including onsite inductions
- Ensure office policies and procedures are implemented appropriately e.g. clean desk policy, safety procedures in line with safety protocol, induction process
- Facilities management: regular liaison with Building Management re: building maintenance issues and security, including parking accesses for staff and visitors
- Safety Site Coordinator for head office including highlighting and recording hazards/risks/incidents, working with the Safety Team to implement the Safety for Life Program and coordinating Safety Officers for North Ryde office
- Manage and coordinate office layout planning, and office or desk moves as required
- Cross functional collaboration with all business units e.g. Procurement for service contracts connected with North Ryde office
- Manage office expenditure and liaise with office suppliers, overseeing service provided and reviewing as necessary
- Manage and process supplier invoices and raise purchase orders
- Manage and maintain IT infrastructure for meeting rooms and work with IT to ensure desks and meeting rooms are set up
**Key requirements**:
- Proven Executive Support: you’ll have 5 + years’ experience in high-level administrative support to senior leadership, including calendar management, meeting coordination, and communication handling.
- Certificate in business administration desirable
- Proactive and organised: you’re always one step ahead, anticipating needs before they arise
- Excellent communicator: you handle communications with professionalism and clarity
- Detail-oriented: nothing escapes your notice, from scheduling to event coordination
- Confidentiality: you handle sensitive information with the utmost discretion
- Multitasker: you can manage multiple tasks and priorities without breaking a sweat
- Positive and flexible attitude: you approach every challenge with a can-do spirit, ready to roll your sleeves up and support where needed
