**Description**:
The Program Support Officer role is to assist all aspects that relate to program invoices across the ADC services. This position is responsible for maintaining all financial transactions, payments, supplier invoices, end of month reports, responding to all queries relating to this position and other task as directed by the Manager.
Promote the values of CORE to provide clients with independence, participation, care, self-fulfilment and dignity. Ensure awareness and support of the philosophies of healthy ageing and independent living and upholding the rights of clients.
This ensures that all external invoices are processed promptly, reconciled and reported using financial acumen in consultation with the Finance team.
Assist with the preparation of the payroll data each fortnight.
This role is accountable for the delivery and continuous improvement of high quality person-centered service to consumers, within budget, aligned to CORE’s Mission, Vision and Values.
The position is required to set and mutually agree priorities and monitor work flow in the areas of responsibility, has the authority to exercise a degree of autonomy within the key responsibilities and duties and will be required to exercise initiative and professional judgment where practices and direction are not clearly defined.
**Responsibilities Include**:
- Be the first point of contact for external suppliers, handling all account discrepancies, and other financial transactions relating to the consumer’s account.
- Ensure all supplier invoices for payment are approved on time and coded correctly within Xero. Any authorisation exceptions or issues relating to invoices are investigated and escalated on a timely basis to the supervisor.
- Creating and preparing end of month reports for the management team utilising current systems and databases.
- Responsible for monitoring External Agency agreements and research any new suppliers as required.
- Coordinate and oversight general building maintenance programs, including liaising with maintenance and contract services to organise building works and repairs, payment of invoices and be the direct resource for any inquires relating to maintenance and building activities.
Provide a wide range of general administrative support services including answering and directing phone calls as required, correspondence, minutes, stock ordering and inventory.
- Assist with ordering any consumer products and assist Case Managers with administration tasks associated with client care.
- Preparation of Payroll data in Alayacare each fortnight.
Any other tasks as required by the Manager
**Skills and Experiences**:
**Selection Criteria**:
- At least 2 years accounts receivable experience in Xero
- Intermediate or advanced excel skills including usage of pivot and excel table functions
- Demonstrated exceptional written and verbal communication skills
- Demonstrated ability to meet deadlines and prioritise tasks
- Strong attention to detail and excellent problems solving/critical thinking skills
- Ability to work autonomously with limited supervision and also be a proactive member of the team
- Demonstrated ability to multi-task in a high volume environment.
- Working knowledge of Xero and its functionality
