About us As a department our purpose is to help the community to prevent, prepare for, respond to and recover from the impact of fire and emergency events. Queensland Fire and Emergency Services (QFES) is the primary provider of fire, rescue and emergency management programs and services throughout Queensland. The department encompasses the Fire and Rescue Service, disaster management services, the Rural Fire Service and the State Emergency Service, and also supports other volunteer groups providing emergency response to Queenslanders. QFES is one department with many services, many capabilities and many partners. Purpose of the role The Organisational Development branch provides organisational design, development and implementation of concepts to create contempary and integrated strategies, frameworks, policies, programs, initiatives. The Organisational Design and Implementation team is responsible for designing and implementing a range of activities to build organisational capacity and ensure workforce capability and departmental structure meets the needs to deliver frontline services and achieve organisational objectives. Reporting to the Prinicpal Advisor [Organisation Design], you will be a key member of the team, responsible for coordinating and monitoring a range of activities and functions to support the program of works, including business improvement initiatives and change management activities. You will provide administration functions and project support to ensure compliance of reporting governance standards, and collaborate with team members so they are aware of their responsibilities and timeframes, as per project reporting requirements to meet business objectives. Key requirements Highly desirable requirements - Experience with provision of administrative support in a project environment. - Experience with Microsoft Office Suite including Microsoft Project, Visio and PowerBi. Your key accountabilities Your part in the ongoing success of our department, in supporting frontline services will see you responsible for a variety of work, including, but not limited to: - Provide project and administrative support to the team in the development and review of policy, frameworks and programs, and any associated tasks to ensure quality outcomes are delivered - Assist in the research, preparation and review of reports, briefing notes, submissions, reports, and other correspondence relating to program initiatives, in accordance with departmental requirements and governance. - Provide secretariat support to committees and working groups by preparing agendas, recording and circulation of minutes and follow up on actions and decisions. - Develop and maintain effective relationships with internal and external stakeholders to ensure consideration of issues and delivery of positive outcomes. - Identify information needs in relation to the implementation of the program and business improvement initiatives, and provide advice about the progress of activities and milestones to meet program objectives. - Monitor, review, improve and implement administrative systems and procedures, as required to support project deliverables and ensure required timeframes are met. - Contribute to the development, implementation and evaluation of plans, policies and procedures, including ensuring content and information is available in support of proactive service delivery. - Work under limited supervision using a high level of initiative to resolve issues, deliver practical solutions and disseminate information which supports business outcomes.
