The National Gallery of Victoria (NGV) is seeking a Registration Project Assistant to provide project and administrative support to the Head of Registration in relation to day-to-day and departmental activities.

ABOUT THE POSITION:
You will provide high quality administrative support to the Head of Registration, including diary management, organising meetings, fielding correspondence and the preparation of written reports. Other key responsibilities will include:

- Assisting with exhibition activities such as preparation of loan exhibition documentation, arranging courier travel and accommodation, and other duties as directed by the Head of Registration.
- Assisting with collection management activities such as the annual stocktake, location tracking, preparation and production of reports from the Collection Management System and acting as courier for local artwork collections.
- Assisting with procurement and contract administration, including seeking quotes, preparing requisitions, processing invoices and monitoring payments against contractual obligations.

To be successful you will have a relevant tertiary qualification and good knowledge and skills in office administration, including an ability to manage appointments and schedules, handle and prioritise correspondence and organise files and information. You can prepare communications using clear concise and grammatically correct language and handle highly sensitive and confidential information and material. You address priority tasks first, regularly planning and tracking progress on work tasks, taking an organised and methodical approach to work. You observe fine details, ensuring accuracy, identifying gaps in information and looking for logical sequences of information. You can establish and maintain relationships with people at all levels and build trust through consistent actions, values, and communication.
