Our Federal Government client is seeking to engage a Admin Support Officer on a contract for 6 months with potential extension.
**Primary purpose of position**
This role is accountable under limited direction to undertake work that is moderately complex to complex in nature and may require the individual to work with sensitive issues. The role will be accountable for organising their workflow and making independent decisions relating to their work. In addition to the relevant duties, this position also requires the following:
- Highly developed written and verbal communication skills
- Awareness and understanding of Agency contract and finance policies and procedures, or the ability to develop this understanding
**Relevant duties**
- Leadership and accountability
- Effective allocation of CRLs to programs and activities
- Assist with the development of accurate contracts for execution by both parties
- With limited supervision process contracts and invoices for payment within required timeframes via SAP
- Manage and co-ordinate the logístical support required to implement the CRL communications plan on any ongoing basis
- Support the management of operational risk management relating to the clinical governance a related to the role, including maintaining the vendor, affiliations and conflict of interest registers
- Provide secretariat support to clinical governance committees as required
- Prepare a wide range of written material including correspondence, input to executive briefings and communications for internal and external audiences and meeting minutes
- Management diversity and span
- Contribute to the setting of the direction of work priorities and practices, monitoring workflow and identifying training needs for self
- Assist in the management of corporate functions including human resources, property, information technology security and finances
- Lead the day-to-day monitoring and analysis to support the reporting capability of CRL utilisation
- Work with the Finance team to support invoice processing and budget management
- Autonomously manage multiple competing priorities and schedule work activities
- Implement and manage effective practices to support contractual and administrative arrangements to facilitate the provision of CRL services across the Agency that align with the Contract and Finance team processes

- Have a sound understanding of the impact of the work area on longer-term strategic, political, or operational outcomes for the Agency/program
- Maintain a well-developed understanding of relevant legislation and policy frameworks
- Provide efficient, professional, and consistently high-quality business services to support the clinical governance function across the Agency which includes liaison with internal and external stakeholders, allocation of CRL resources, managing travel requests and bookings, processing invoices in line with contract terms and agreed policies and procedures
- The nature of the work has a focus on:
- maintaining a large CRL panel with a number of administrative requirements and;
- maintaining high CRL utilisation across the business in line with the Agency's Clinical Governance Framework
- Proactively contribute to the development of strategic plans and team goals
- Independence and decision-making
- Maintain the CRL Standard Operating Procedures as they relate to the contractual and administrative arrangements to support CRL engagement and allocation
- Agency contract and finance policies and procedures are followed in the development and management of contracts and invoice processing
- Proactively and independently prioritise daily work in line with agreed timeframes
- Independently initiate quality improvement practices, including identification of problems, development of strategies for resolution and working with key parties to address these
- Stakeholder Management
- Liaise with internal and external stakeholders on policy, project, or operational issues
- Build and maintain effective working relationships with internal and external stakeholders
- Strong interpersonal, liaison and communication skills
- Manage stakeholder queries and seek advice from the relevant area/s to assist with a coordinated response
- Provide accurate and timely advice in response to stakeholder queries
**Essential requirements**
- Ability to obtain and maintain a security clearance at a level designated by the Agency on request
- Ability to obtain and maintain national police check.
- Australian Citizenship is a condition of eligibility.
